This is a part-time, 100% remote position, offering flexibility and the opportunity to work from the comfort of your home, with specific state residency requirements.
  • • Your primary responsibility will be to manage a wide range of administrative and clerical tasks that are essential for patient care and practice management. This includes being the first point of contact for patients, ensuring a positive and professional experience from the moment they interact with our practice.
  • • You will be instrumental in managing patient flow by expertly scheduling appointments, ensuring that patient needs are met in a timely and organized manner. This involves utilizing our scheduling systems effectively to optimize provider schedules and minimize patient wait times.
  • • A significant part of your role will involve patient registration and demographic verification. You will meticulously collect and update patient information, ensuring accuracy in our systems, which is vital for billing, communication, and continuity of care.
  • • You will be the gatekeeper for patient inquiries, responsible for answering and screening phone calls by the third ring. Your ability to direct calls accurately and efficiently to the appropriate staff member will be key to maintaining seamless communication within the practice.
  • • Insurance verification and pre-certification will be a core function. You will diligently verify patient insurance coverage, process necessary pre-authorizations for procedures and services, and ensure all billing information is accurately entered into our system, minimizing claim denials and administrative burdens.
  • • Financial responsibilities include collecting co-pays at the time of service, accurately entering charges and payments, reconciling daily batches, and preparing deposits. This requires a high level of attention to detail and trustworthiness.
  • • You will also be responsible for preparing referrals for patients to specialists, ensuring they have the necessary documentation and authorizations to receive comprehensive care.
  • • For those with more experience, there may be opportunities to train and direct other office assistants at different sites. This leadership aspect involves preparing work and training schedules, acting as a resource for colleagues, and serving as a mentoring role model, embodying Virtua's commitment to excellence.
  • • This role requires a proactive approach to problem-solving and a commitment to maintaining a high standard of patient service, even in a remote setting. You will be expected to manage your workload effectively, prioritize tasks, and adapt to the evolving needs of the practice.
  • • By ensuring the accuracy of patient records, the efficiency of scheduling, and the smooth handling of administrative and billing tasks, you will directly contribute to the overall patient experience and the financial health of the practice.
