• • Be the heartbeat of Pylon Labs’ San Francisco headquarters. As our first dedicated Office Manager, you will own the physical and cultural infrastructure that lets 55+ brilliant minds do their best work every day. From the moment teammates swipe in to the last light switched off at night, your fingerprints will be on every detail that makes our office feel friction-free, welcoming, and unmistakably “Pylon.”
• • Own end-to-end office operations: negotiate with vendors, manage supply inventory, schedule maintenance, and keep our space spotless and safe. You’ll create systems that scale as we double headcount over the next 12 months, ensuring new hires walk into a workspace that already feels like home.
• • Curate experiences that bring our culture to life. Plan quarterly off-sites for the whole company, monthly socials for each function, and spontaneous micro-events that celebrate wins. You’ll manage budgets, book venues, coordinate travel, and design agendas that balance strategic alignment with genuine fun.
• • Be the executive air-traffic controller for our three co-founders. Tackle complex calendaring across time zones, prep briefing docs, book travel, and handle last-minute pivots with calm precision. Your inbox-zero mindset will give founders back hours each week to focus on product and customers.
• • Make every meal memorable. Oversee daily catered lunches from top local chefs, weekly breakfast spreads, and fully stocked kitchens that rival boutique cafés. You’ll track dietary preferences, rotate menus seasonally, and negotiate contracts that keep quality high and costs low.
• • Serve as the first impression for guests, investors, and candidates. Greet visitors with genuine warmth, manage security protocols, and ensure meeting rooms are camera-ready for high-stakes demos. Your polish and hospitality will silently reinforce why top talent chooses Pylon.
• • Partner with our Operations Manager on cross-functional initiatives—whether that’s rolling out new office tech, orchestrating our first international team summit, or launching sustainability programs that shrink our carbon footprint.
• • Champion workplace safety and compliance. Maintain OSHA logs, run quarterly emergency drills, and keep our hybrid-equipment (VR headsets, podcast studio, high-end espresso machines) humming. You’ll be the go-to resource for “How do I…?” questions across the company.
• • Leverage data to optimize the office experience. Track NPS-style employee feedback on food, events, and facilities; present monthly dashboards to leadership; and iterate quickly. Your insights will directly influence budget allocation and strategic planning.
• • Leave a legacy of operational excellence. Document every process in Notion, create onboarding checklists for future office staff, and build vendor scorecards that institutionalize your high standards long after you’ve scaled the role into a broader workplace team.
