- • Manage daily operations of the Kaunas office including walkthroughs, supervision of shared spaces, furniture, equipment upkeep, and cleanliness standards.
- • Serve as the primary point of contact for employees, visitors, candidates, and vendors, creating a welcoming and inclusive workplace environment.
- • Coordinate all office supply purchases, maintain inventory levels, communicate with vendors, and process invoices accurately and timely.
- • Oversee food and beverage operations including setup and management of daily snacks, beverages, and weekly lunches for office staff.
- • Liaise with landlord and on-site IT teams to address maintenance requests, AV equipment issues, and other technical needs.
- • Receive, track, and resolve all incoming office-related requests from employees, ensuring timely follow-up and documentation.
- • Maintain and update office documentation, including safety protocols, fire regulations, and medical journals, ensuring compliance with local standards.
- • Lead new hire onboarding experiences including office tours, desk setup, and orientation to office resources and policies.
- • Drive internal communication through Slack, company intranet, and digital info screens to keep staff informed of office updates and events.
- • Partner with the Social Committee to plan, coordinate, and execute micro-events, happy hours, and onsite activities from planning through teardown.
- • Support global Workplace Experience initiatives by contributing reporting, data collection, and ad-hoc projects as needed.
- • Ensure adherence to safety and fire regulations, managing all related policies and documentation for the Kaunas office.
- • Maintain a high standard of office aesthetics and functionality to enhance employee experience and productivity.
- • Adapt to evolving workplace needs by identifying opportunities to improve operations, communication, and employee engagement.
- • Work primarily onsite in the Kaunas office with occasional travel to the Vilnius office as required.

- • Proactive and highly organized approach with ability to manage multiple tasks and priorities simultaneously
- • Strong interpersonal skills with a people-first mindset; friendly, professional, and service-oriented demeanor
- • Fluency in both Lithuanian and English (C1 level) with excellent verbal and written communication skills
- • Availability to work fully onsite at the Kaunas office, with occasional work in Vilnius
- • Experience coordinating events, catering, and vendor relationships (any level)
- • Comfort using Google Workspace and Slack
