- • Manage the end-to-end subprocessor register, including review, onboarding, and client notification of subprocessor changes in compliance with contractual and regulatory obligations.
- • Administer data retention schedules by data category and jurisdiction, coordinating deletion and archiving activities while maintaining supporting documentation.
- • Support access control compliance by maintaining records of data access permissions and assisting with periodic access reviews.
- • Own the end-to-end Data Subject Access Request (DSAR) intake process, ensuring accurate tracking, cross-functional coordination, and timely fulfillment within regulatory deadlines.
- • Support privacy office audits and monitoring activities by ensuring proper documentation and tracking of controls and audit findings.
- • Maintain up-to-date compliance documentation, including registries of processing activities and risk assessments.
- • Serve as the first point of contact for client and applicant queries on privacy and EMEA regulatory matters, triaging straightforward requests and escalating complex issues to Senior Counsel.
- • Prepare and issue subprocessor update notices and other privacy-related client communications.
- • Maintain client-specific compliance records related to data processing agreements and privacy obligations.
- • Track EMEA jurisdiction-specific reporting requirements and filing deadlines, coordinating preparation with Senior Counsel and Senior Compliance Officer.
- • Maintain the EMEA compliance calendar and assist with regulatory correspondence.
- • Support credentialing and onboarding/offboarding compliance processes for EMEA clients and vendors.
- • Apply working knowledge of UK disclosure regimes (DBS, Disclosure Scotland, AccessNI), including check levels, eligibility rules, and role qualification criteria.
- • Understand Certn’s obligations as a registered body, umbrella body, or responsible organisation under UK disclosure frameworks, including identity verification and disclosure result handling.
- • Audit screening files for eligibility accuracy and procedural compliance, and prepare first-line responses to client and regulator inquiries on check scoping, processing, and storage.
- • Apply UK GDPR and Data Protection Act 2018 rules to criminal-record data, including handling, retention, and secure destruction as criminal offence data.
- • Maintain process documentation for privacy and EMEA compliance workflows.
- • Act as a liaison between Operations and Privacy teams to improve process design and workflow efficiency.
- • Triage and manage Jira tickets related to privacy and EMEA compliance matters.
- • Use AI tools (e.g., Claude) to draft communications, summarize regulatory guidance, and enhance workflow efficiency in daily tasks.
- • Collaborate across compliance, operations, and client-facing functions to ensure alignment with evolving regulatory requirements.
- • Ensure all activities adhere to Certn’s no-jerk policy, high-performance culture, and commitment to ethical AI use.
🎯 Requirements
- • Post-secondary education in a related field or equivalent combination of education and professional experience.
- • Practical working knowledge of GDPR and data subject rights processes, including experience engaging with regulatory bodies such as the ICO.
- • Highly organized with exceptional attention to detail and ability to manage multiple priorities across jurisdictions.
- • Excellent written and verbal communication skills.
- • Ability to maintain discretion and confidentiality at all times.
- • Comfortable using AI tools (e.g., Claude) to support drafting, summarization, and workflow efficiency.
