• • The Operations Coordinator at Scale Army supports U.S.-based luxury consumer brand leadership by ensuring operational precision, responsiveness, and high service standards in a fast-paced, fully remote environment requiring availability during U.S. business hours (9 AM–5 PM EST). This role is critical to maintaining seamless execution across order fulfillment, executive support, and cross-functional initiatives, directly impacting customer experience and internal efficiency.
• • Day-to-day responsibilities include monitoring and managing timely customer order fulfillment through Shopify and fulfillment partners, tracking VIP and priority orders, processing subscription changes via Recharge, resolving shipping issues, filing carrier claims, and assisting with chargeback documentation; attending leadership calls to capture action items, owners, and timelines, then proactively following up with stakeholders to ensure deadlines are met; supporting new initiatives from research through execution—including marketplace applications, product launches, and regulatory documentation—while helping set up and manage evolving systems and tools; managing CEO and CFO calendars, coordinating travel logistics, capturing leads in Capsule CRM from trade shows, and maintaining organized digital records and vendor documentation; coordinating with fulfillment partners to resolve shipping or order issues and assisting with inbound customer inquiries under direction of the customer service manager.
