• • In this pivotal role, you will serve as an Operations Coordinator, providing essential support to our Executive Team. Your primary responsibilities will encompass meticulous calendar management, seamless meeting coordination, efficient executive intake management, and diligent cross-functional follow-through. The overarching goal is to safeguard leadership's time, ensuring that strategic priorities are advanced with maximum efficiency and minimal disruption. This position is perfectly suited for an individual who is a natural self-starter, thrives in a dynamic coordination environment, excels at clear and concise communication, and possesses an unwavering commitment to ensuring no detail is overlooked. • • You will be instrumental in owning the coordination of executive priorities and overarching team operations. This includes the intricate management of executive calendars, ensuring that all meetings are strategically aligned with organizational objectives, and guaranteeing that leaders are thoroughly prepared with the necessary context, materials, and decision frameworks required to drive initiatives forward effectively.
• • A key aspect of your role will be to drive meeting effectiveness across the entire organization. This involves the meticulous preparation of agendas, the timely distribution of pre-read materials, the precise documentation of all decisions and action items, and the diligent oversight of clear follow-through and accountability mechanisms across various teams.
• • You will actively support cross-functional project coordination efforts, particularly between departments such as Marketing and Commercial. This will involve diligently tracking project deliverables, maintaining project timelines, and proactively identifying potential gaps, risks, or dependencies that could impede progress, thereby ensuring smooth project execution.
• • A significant part of your contribution will be to maintain and enhance our existing operational systems and workflows, utilizing tools like ClickUp and other internal platforms. Your efforts will ensure that tasks, documentation, and critical decisions are systematically organized, readily visible, and easily accessible for all teams to execute their responsibilities efficiently.
• • You will act as a proactive operational partner to the leadership team, consistently identifying opportunities to alleviate workload, streamline existing processes, and readily step in to support new initiatives as organizational priorities evolve.
