- • Are you a highly organized and detail-oriented professional with a passion for ensuring smooth and compliant operations? QGenda is seeking a dynamic Operations Coordinator to join our growing team, playing a pivotal role in supporting both our Human Resources and Legal departments. This hybrid position, requiring a minimum of two days per week in our vibrant Atlanta Buckhead office, offers a unique opportunity to contribute to the operational integrity of our company across the entire employee lifecycle.
- • As an Operations Coordinator, you will be instrumental in upholding QGenda's commitment to operational compliance. Your responsibilities will span from the initial stages of employee onboarding through to the final processes of termination, ensuring that all procedures are executed with precision and adherence to relevant regulations. This role demands a proactive approach, meticulous attention to detail, and the ability to manage multiple priorities effectively in a fast-paced environment.
- • In collaboration with the HR and Legal teams, you will assist in the development, implementation, and refinement of policies and procedures. This includes ensuring that all documentation is accurate, up-to-date, and readily accessible. You will be a key point of contact for internal inquiries related to HR and Legal operational processes, providing clear and concise guidance to employees and management.
- • A significant aspect of your role will involve managing and maintaining critical employee data. This includes ensuring the accuracy and confidentiality of records within our HR Information System (HRIS) and other relevant platforms. You will support the onboarding process by coordinating the preparation of new hire documentation, conducting initial compliance checks, and ensuring a seamless integration experience for our new team members.
- • Furthermore, you will contribute to the administration of employee benefits and HR programs, working closely with the HR team to ensure efficient delivery and communication. This may involve assisting with enrollment processes, responding to employee queries, and supporting the coordination of HR-related events and initiatives.
- • On the Legal operations side, you will provide essential support in maintaining legal compliance documentation. This could involve assisting with the organization and filing of contracts, agreements, and other legal records. You will help ensure that QGenda's operations align with all applicable laws and regulations, working under the guidance of the Legal team to mitigate risks and uphold our corporate integrity.
- • Your responsibilities will also extend to supporting internal audits and compliance reviews. You will gather and organize necessary documentation, assist in responding to audit requests, and help implement any recommended corrective actions. This proactive approach to compliance is crucial for maintaining QGenda's strong reputation and operational excellence.
- • The ideal candidate will possess exceptional organizational skills, a keen eye for detail, and a strong understanding of HR and Legal principles. You should be adept at using technology to streamline processes and manage data effectively. Excellent communication and interpersonal skills are essential, as you will be interacting with individuals across all levels of the organization.
- • This role is perfect for someone who thrives in a supportive team environment and is eager to learn and grow within a company that values compliance, efficiency, and employee well-being. You will have the opportunity to make a tangible impact on QGenda's operational success and contribute to a culture of excellence. By ensuring the smooth functioning of HR and Legal operations, you will directly contribute to QGenda's ability to attract, retain, and support its most valuable asset: its people.
- • You will be responsible for managing and organizing various HR and Legal documents, ensuring they are properly filed, maintained, and accessible. This includes, but is not limited to, employee records, policy documents, compliance forms, and legal agreements. Your diligence in this area will be critical for audits, legal reviews, and day-to-day operational needs.
- • You will assist in the preparation and distribution of HR and Legal communications, ensuring clarity and accuracy. This might involve drafting memos, updating internal portals, or preparing materials for employee training sessions on compliance-related topics.
- • The Operations Coordinator will also play a role in process improvement initiatives. By identifying inefficiencies or areas for enhancement within HR and Legal workflows, you will contribute to the development and implementation of more effective and streamlined operational procedures. Your insights and suggestions will be highly valued.
- • This position requires a high degree of discretion and confidentiality, as you will be handling sensitive employee and company information. Maintaining the utmost integrity and professionalism in all interactions and data handling is paramount.
- • You will support the administration of various HRIS modules, ensuring data integrity and accuracy. This includes assisting with data entry, report generation, and system updates as needed, under the guidance of the HR team.
