- • Lead and manage the day-to-day operations of the Patient Access team, ensuring timely and accurate completion of insurance verification, prior authorization, scheduling readiness, financial clearance, and patient onboarding workflows.
- • Monitor team performance against SLAs, quality standards, and productivity targets including authorization turnaround time, verification accuracy, conversion readiness, cancel rates, client satisfaction, and financial clearance timelines.
- • Develop, analyze, and communicate daily, weekly, and monthly performance reports, translating data trends into actionable improvement plans through coaching, process clarification, and workflow adjustments.
- • Serve as the escalation point for complex patient access issues, supporting supervisors and frontline staff in resolving high-impact or time-sensitive cases.
- • Ensure consistent application of standardized workflows, documentation practices, and compliance requirements including HIPAA, PCI, and payer-specific rules.
- • Partner cross-functionally with clinical, financial, and operational teams to resolve access-related barriers and prevent delays in care or reimbursement.
- • Identify recurring inefficiencies in patient access workflows and collaborate with leadership to recommend and implement practical improvements.
- • Provide structured onboarding, daily operational guidance, and ongoing skill development for new and existing Patient Access Specialists, reinforcing service, accuracy, and documentation standards.
- • Maintain appropriate staffing coverage and workload balance to support volume fluctuations and service expectations.
- • Contribute operational insights, metrics, and frontline feedback to leadership to support decision-making and continuous improvement.
- • Oversee a team of Patient Access Specialists supporting patients across the entire care journey—from online enrollment to initial evaluation to recurring sessions and ongoing support.
- • Ensure the non-clinical patient access team successfully supports patients through every stage of their care experience while meeting key performance metrics.
- • Operate in a fully remote environment with required availability during Eastern Standard Time (EST) hours.
- • Work in a sedentary, home-based office environment using computer and telecommunications systems for documentation, calls, and collaboration.
- • Maintain vigilance in regulatory compliance, data security, and ethical standards while managing high-volume, metrics-driven healthcare administrative workflows.
🎯 Requirements
- • Bachelor’s degree in healthcare administration, business, or related field or equivalent combination of education and experience
- • More than 5 years of experience in patient access, healthcare operations, revenue cycle, or related healthcare administrative functions
- • More than 3 years of people management experience, including direct supervision of frontline staff
- • Demonstrated success managing teams in high-volume, metrics-driven healthcare call center environments
- • Experience overseeing insurance verification, prior authorization, and front-end revenue workflows
- • Strong proficiency with EHR/CRM systems, payer portals, and workflow management tools
