📋 Description

• Serve as the primary point of contact for resolving day-to-day payment issues, coordinating between dental practices and internal Archy teams to ensure timely and accurate resolutions.
• Document and maintain standard operating procedures for all payment partner relationships, ensuring consistency and compliance across Archy’s two payment platforms.
• Support the onboarding, setup, and ongoing maintenance of merchant accounts, payment gateways, and acquiring relationships to ensure uninterrupted service for dental practices.
• Act as the internal payments subject matter expert (SME) for Product, Onboarding, and Customer Experience teams, providing clear guidance on payment workflows, policies, and exception handling.
• Manage operational escalations across all payment rails, including ACH returns, fee discrepancies, and deposit anomalies, ensuring accurate reconciliation and resolution.
• Investigate, track, and reconcile disputed transactions on behalf of dental practices, maintaining detailed records and communicating outcomes transparently.
• Maintain and update documentation for payment-related policies, processing timelines, and exception procedures to ensure alignment across teams and compliance with industry standards.
• Stay current with compliance requirements including Nacha, Card Brand Rules, and PCI standards, and apply these to daily operations to mitigate risk and ensure regulatory adherence.
• Proactively identify recurring payment issues and develop or improve internal controls to prevent future occurrences, moving beyond reactive fixes to build sustainable solutions.
• Collaborate closely with the Product team to map existing payment processes and document new workflows as systems evolve, ensuring accuracy and scalability.
• Leverage AI tools and automation technologies daily to enhance productivity, improve decision-making speed, and elevate the quality of payment operations outcomes.
• Analyze payment data to generate insights and reports that inform optimization of the payment platform, reducing friction for practices and improving financial outcomes.
• Ensure all payment operations align with Archy’s mission to enable dental providers to focus on patient care by minimizing administrative and technical burdens related to payments.
• Maintain a high standard of detail orientation and urgency in resolving payment issues, recognizing the critical impact of payment reliability on dental practice operations.
• Adapt quickly to changes in payment technologies, partner requirements, and regulatory landscapes while keeping internal teams informed and aligned.

🎯 Requirements

• 3+ years of payment support experience at a SaaS or financial services company.
• Experience with Excel, SQL, or business intelligence tools (Power BI, Tableau) is a plus.
• Leverages AI tools and automation in everyday work to move faster, improve outcomes, and continuously raise the bar on how we operate.
• Clear and effective written and verbal communication skills.
• Love to solve technical problems with multiple variables; enjoy learning new technologies and diving into technical problems to find solutions.
