- • As a Payroll Analyst at Whatnot, Inc., you will be instrumental in ensuring the accurate, timely, and compliant processing of payroll for our growing US employee base. This role is critical to our operations, directly impacting employee satisfaction and financial integrity. You will be the go-to expert for our US payroll, leveraging your deep understanding of Workday Payroll and its integration with ADP to manage all facets of the payroll cycle. Your responsibilities will span from meticulous payroll processing and validation to ensuring strict adherence to federal, state, and local regulations, making you a key player in maintaining our company’s financial health and compliance.
- • Your primary focus will be on the end-to-end payroll processing. This involves executing bi-weekly payroll runs within Workday, meticulously validating all earnings, deductions, taxes, and garnishments to prevent errors and ensure accuracy. You will be responsible for managing the complexities of multi-state payroll processing, including accurate tax allocations, ensuring that Whatnot remains compliant with all applicable tax laws across different jurisdictions. This requires a sharp eye for detail and a proactive approach to identifying and resolving any discrepancies before they impact employees or the company.
- • Compliance and audits are cornerstones of this role. You will be tasked with maintaining up-to-date knowledge of and adherence to IRS and state tax regulations, ensuring that Whatnot’s payroll practices are always in line with legal requirements. You will play a vital role in supporting both internal and external payroll audits, providing necessary documentation and explanations. Furthermore, you will be responsible for the preparation and validation of essential year-end reporting, including W-2s, ensuring their accuracy and timely submission. This proactive approach to compliance safeguards the company against potential penalties and reinforces our commitment to ethical business practices.
- • As a subject matter expert in Workday Payroll, you will be heavily involved in its system management. This includes troubleshooting payroll errors and resolving discrepancies, often in collaboration with the Sr Global Payroll Analyst. You will partner closely with the HR and Benefits teams to guarantee seamless and accurate data integration between systems, ensuring that employee data is correctly reflected in payroll. A significant part of your role will involve developing and maintaining robust payroll reports and calculated fields within Workday, providing valuable insights into payroll data and trends. This system-centric approach ensures efficiency and accuracy in our payroll operations.
- • Reconciliation and reporting are integral to understanding and managing payroll. You will be expected to perform detailed analysis of payroll variances, investigating any significant deviations to ensure accuracy and identify potential issues. You will also be responsible for preparing various payroll reports as needed, catering to the informational requirements of different departments and stakeholders. This analytical aspect of the role is crucial for financial oversight and strategic decision-making.
- • A key objective for this role is continuous process improvement. You will actively identify opportunities for automation and efficiency gains within the payroll process, seeking ways to streamline operations and reduce manual effort. 🎯 Requirements
- • 5 - 7+ years of comprehensive US payroll processing experience.
- • 3+ years of hands-on experience specifically with Workday Payroll, including its integration capabilities.
- • Proven expertise in multi-state payroll processing and compliance.
- • Strong, up-to-date knowledge of US federal, state, and local tax regulations and wage and hour laws.
- • Demonstrated experience with payroll audits, reconciliations, and year-end reporting (e.g., W-2s).
- • Advanced proficiency in Microsoft Excel for data analysis and reporting.
- • Familiarity with ADP SmartCompliance is a significant plus.
