- • Oversee the end-to-end payroll process, including compiling and validating payroll data, resolving discrepancies, and transmitting accurate information to the payroll vendor for processing.
- • Ensure timely and accurate submission of employee and employer 401(k) contributions to the retirement vendor in alignment with plan guidelines.
- • Manage and resolve time and attendance discrepancies, including missed punches, to ensure accurate employee compensation and compliance with company policies.
- • Maintain accurate and up-to-date payroll records for regular, commission, bonus, and related payrolls, ensuring all earnings and deductions are properly accounted for.
- • Administer payroll-related deductions including taxes, garnishments, and other withholdings, ensuring compliance with legal and organizational standards.
- • Collaborate with Finance and Accounts Payable teams to provide accurate payroll data and documentation to support financial reporting and reconciliation processes.
- • Ensure timely and accurate filing of federal, state, and local payroll tax returns, verifying compliance with tax regulations and confirming on-schedule tax deposits across all jurisdictions.
- • Conduct regular audits of payroll tax transactions to ensure accuracy and adherence to applicable federal, state, and local laws and regulations.
- • Prepare and complete monthly, quarterly, and annual payroll tax filings and reports, maintaining detailed records for audit readiness and regulatory compliance.
- • Stay current on changes in federal, state, and local payroll legislation and provide guidance to ensure ongoing compliance and implementation of best practices.
- • Respond to employee inquiries regarding payroll matters with a high standard of customer service to enhance employee experience and trust.
- • Facilitate annual audits by delivering accurate, complete, and timely payroll data, including critical information required for 401(k) audits.
- • Create, document, and regularly update Standard Operating Procedures (SOPs) for all payroll processes to ensure consistency, efficiency, and regulatory compliance.
- • Generate and present comprehensive payroll reports to management, detailing payroll expenses, tax liabilities, and key financial metrics for strategic analysis.
- • Develop, implement, and maintain payroll policies and procedures to align with evolving legal requirements and internal company standards.
- • Utilize Workday Payroll to manage payroll data, process payments, and ensure system accuracy, integrating with ADP for final processing of regular, commission, bonus, and related payrolls.
- • Uphold strict confidentiality and data security protocols for all payroll information in accordance with organizational and regulatory requirements.
- • Demonstrate strong analytical skills to interpret financial records, identify anomalies, and resolve complex payroll issues with precision.
- • Work collaboratively with HR, Finance, and other departments to gather necessary information and resolve cross-functional payroll-related issues.
- • Maintain a high level of accuracy and attention to detail in all payroll activities under recurring and tight deadlines.
🎯 Requirements
- • Bachelor’s degree in Business Administration, Finance, Accounting, Human Resources, Payroll Tax, or a related field (qualifying experience may substitute education at a rate of two years of experience per year of education)
- • Minimum of six (6) years of experience managing full-cycle payroll processing and tax compliance for federal, state, and local jurisdictions
- • Recent and proven proficiency with Workday Payroll, including experience processing payroll and managing payroll-related data within the system
