📋 Description

  • Own end-to-end People Operations execution with a primary focus on APAC timezone coverage, ensuring timely support and minimizing cross-timezone handoffs from Tokyo-based operations.
  • Manage full-cycle new hire onboarding, including HRIS setup, background check verification, and coordination of all Day 1 logistics to ensure seamless employee start experiences.
  • Process employee off-boardings by updating HRIS records, drafting separation documentation, and coordinating with People Partners, IT, Legal, and Finance teams on exit logistics.
  • Operationalize and maintain Japan-specific HR workflows, including social insurance administration, leave request processing, payroll coordination, labor law compliance, and audit readiness.
  • Serve as the primary point of contact for employee inquiries submitted through the People Operations ticketing system, triaging and resolving issues with accuracy and urgency.
  • Execute day-to-day HRIS transactions, ensuring data integrity and compliance across all employee records and lifecycle events.
  • Partner cross-functionally with Recruiting, Legal, Finance, People Partners, and IT to deliver cohesive, efficient People Operations outcomes across global teams.
  • Maintain compliance with SOC2 standards, manage employee documentation files, and support internal and external audits related to employment records and labor regulations.
  • Support onboarding, extensions, and offboarding of contingent workers, ensuring alignment with local and global policy requirements.
  • Lead and contribute to ad-hoc projects aimed at improving operational efficiency, reducing manual work, and enhancing the employee experience across Japan and APAC.
  • Ensure all employee-facing processes are thoughtful, consistent, and aligned with Notion’s culture of operational excellence and support.
  • Handle sensitive employee data with strict confidentiality and discretion, adhering to data protection standards in Japan and internationally.
  • Collaborate with external vendors to ensure accurate and timely execution of HR services, particularly in areas requiring high-quality Japanese-language documentation and local regulatory judgment.
  • Maintain fluency in Japanese-language HR documentation, compliance forms, and employee communications, ensuring clarity and legal compliance across all materials.
  • Act as a reliable operational anchor for the People team, proactively identifying process gaps and implementing solutions to scale HR operations as the company grows.
  • Support an inclusive, high-quality employee experience by applying a service-oriented mindset to every People Operations interaction.
  • Maintain awareness and willingness to adopt AI tools to streamline processes and improve outcomes, without requiring prior AI expertise.
  • Ensure all HR operations align with Japan’s labor regulations and social insurance systems, including timely submissions, record-keeping, and regulatory updates.
  • Coordinate with internal stakeholders to resolve complex operational challenges that span multiple teams and systems, prioritizing speed, accuracy, and compliance.
  • Adapt operations to support Notion’s Anchor Days policy (Mondays, Tuesdays, and Thursdays in-office) and any additional in-office requirements for the role.

🎯 Requirements

  • 3+ years of experience in People Operations, HR Operations, or a similar role in a fast-paced, growing company.
  • Fluency in Japanese and English, with confidence handling Japanese-language employee documentation and stakeholder communication.
  • Strong working knowledge of Workday (HCM) and comfort operating across multiple People tools and systems.
  • Must hold a Class 2 Occupational Health Manager License (第2種衛生管理資格), or obtain it within one year of joining the company.
  • Excellent attention to detail and ability to handle sensitive employee data with discretion.
  • Proven ability to partner effectively with Recruiting, Legal, Finance, IT, and People Partners to coordinate seamless employee experiences and resolve complex operational challenges.
