- • Oversee and manage multiple concurrent projects, launches, coaching programs, content initiatives, and enrollment campaigns for a growing coaching and online education business.
- • Build, maintain, and track detailed project timelines to ensure deadlines, deliverables, and launch milestones are consistently met across all operational areas.
- • Proactively identify and resolve bottlenecks in project workflows to maintain momentum and prevent delays in high-priority business initiatives.
- • Serve as the central point of coordination between contractors, freelancers, virtual assistants, and internal team members to ensure alignment on priorities, deadlines, and deliverables.
- • Drive accountability across the organization by following up on outstanding tasks, action items, and pending deliverables with clear communication and documentation.
- • Maintain and optimize project management systems such as Airtable, Asana, ClickUp, Notion, or similar platforms to ensure structured, accessible, and up-to-date project tracking.
- • Improve operational workflows by identifying inefficiencies and implementing scalable systems and processes to support business growth.
- • Assist in creating and documenting standard operating procedures (SOPs) to institutionalize best practices and reduce dependency on individual knowledge.
- • Provide organized, executive-level project status reports and updates to leadership to enhance visibility into ongoing initiatives, progress, and outcomes.
- • Anticipate operational needs and proactively support leadership in managing priorities, reducing overwhelm, and maintaining focus on strategic goals.
- • Coordinate cross-functional collaboration between marketing, sales, client success, and operations teams to ensure seamless execution of coaching program launches and client-facing initiatives.
- • Ensure all moving parts of high-stakes business launches — including enrollment campaigns, events, and content rollouts — are organized, synchronized, and delivered on time.
- • Support special projects and scaling initiatives as the business expands, adapting systems and processes to accommodate increased volume and complexity.
- • Maintain clear, consistent documentation of all active projects, decisions, and communications to ensure information remains accessible and transparent across the team.
- • Act as an accountability partner and execution support resource for leadership, helping to translate strategic vision into structured, actionable plans.
- • Operate independently with high ownership, taking initiative to solve problems, organize chaos, and create structure in a fast-moving, dynamic environment.
- • Ensure all team members have clear priorities, deadlines, and visibility into project status at all times to foster alignment and reduce confusion.
- • Support the creation of a seamless experience for prospects and existing clients throughout program delivery and enrollment cycles.
- • Work during U.S. business hours (9AM - 5PM PST) to align with client and team time zones.
- • Apply a solutions-oriented, proactive mindset to anticipate challenges before they arise and implement preventive operational measures.
- • Demonstrate strong critical-thinking and problem-solving skills to navigate shifting priorities and complex, multi-stakeholder environments.
- • Maintain a passion for helping growing businesses scale through systematic organization, operational excellence, and disciplined execution.
🎯 Requirements
- • 3+ years of experience in project management, operations coordination, or similar organizational roles
- • Experience supporting coaching businesses, online education companies, personal brands, memberships, masterminds, or creator-led businesses
- • Proficiency with project management tools such as Airtable, Asana, ClickUp, Notion, Slack, or similar platforms
- • Ability to manage multiple projects and stakeholders simultaneously in a fast-paced environment
- • Strong organizational, time management, and follow-through skills with high attention to detail
- • Must be available to work during U.S. business hours (9AM - 5PM PST)
