📋 Description

• • Own and maintain the daily project status tracker to ensure all marketing deliverables remain visible, on schedule, and moving forward without delay.
• • Route briefs, assets, and approvals between the EVP, internal marketing pods, and external vendors, ensuring seamless handoffs across the project lifecycle.
• • Attend manager meetings or review AI-generated meeting notes to log tasks, commitments, and deadlines, then enforce accountability across the distributed LATAM marketing team.
• • Serve as the final QA gate for all marketing assets: test every email and SMS end-to-end, verify UTM parameters against taxonomy, proofread spelling and grammar, validate link functionality, and confirm form submissions trigger correct tagging and notifications.
• • Ensure all creative assets comply with SEC regulations and financial services disclosure standards, managing the full approval chain from writer → principals → legal → board, with strict enforcement of the EVP’s initial sign-off requirement.
• • Maintain a single, version-controlled, canonical source of truth for all branded and compliance-critical documents, archiving outdated versions and controlling access to current assets.
• • Publish approved assets live across platforms including Notable, Planable, and HubSpot, ensuring only the most current, compliant versions are active.
• • Oversee the entire UTM tracking system: create, audit, and optimize UTM parameters across all paid channels to ensure accurate campaign performance measurement and regulatory compliance.
• • Run daily timesheets and output tracking for the remote LATAM marketing team, identifying no-shows, unqualified leads, and stalled workflows to maintain productivity.
• • Conduct event pre-flight checks for displays, QR codes, NFC tags, capture forms, and printed materials, ensuring all elements are functional and branded correctly.
• • Shadow key client and team calls to capture action items and follow-up tasks, then distribute and track completion.
• • Reconcile editorial calendars with traffic calendars weekly to align content production with campaign timelines.
• • Document and standardize all QA, compliance, and workflow procedures to ensure institutional knowledge survives team turnover.
• • Proactively identify blockers and stalls in the workflow before they impact deadlines, escalating issues with clear recommendations for resolution.
• • Build and refine AI-assisted workflows using the company’s AI Brain to test copy edits against fund offering documents for consistency, accuracy, and regulatory alignment.
• • Maintain strict discipline around brand governance, access controls, and asset versioning across all digital and print marketing materials.
• • Communicate daily with the team and leadership — never go dark — using a friendly, persuasive, and accountable tone to drive results.
• • Travel to the U.S. up to four times per year for approximately one week per trip, with the first trip scheduled for August 17–21.
