• • VetsEZ is seeking a highly organized and proactive Proposal Manager to spearhead and meticulously manage our federal proposal development lifecycle. This critical role is designed for a seasoned proposal professional who thrives in a dynamic environment and possesses a proven track record in coordinating and executing federal proposal efforts from inception to submission. You will be instrumental in ensuring our proposals are not only compliant and structured but also compelling and strategically aligned with client needs, ultimately contributing to VetsEZ's continued success in the federal contracting space.
• • As a Proposal Manager, your primary responsibility will be to orchestrate the end-to-end proposal process. This involves developing and rigorously managing detailed proposal schedules, ensuring all milestones are met and communicated effectively. You will lead proposal kickoff meetings, setting the stage for successful collaboration and defining clear objectives and timelines for all involved stakeholders. Proactive milestone tracking will be a key component of your role, ensuring the proposal team stays on course and potential roadblocks are identified and addressed early.
• • A significant aspect of this position involves maintaining and refining our proposal infrastructure. This includes developing and managing proposal templates, creating comprehensive outlines that guide content development, and establishing robust compliance matrices to ensure every requirement of the solicitation is addressed. You will be the guardian of our response structures, ensuring consistency and quality across all submissions.
• • You will play a pivotal role in coordinating and facilitating critical color team reviews, including Pink, Red, and Gold teams. Your ability to manage these reviews, capture feedback, and meticulously track the resolution of action items will be crucial in elevating the quality and competitiveness of our proposals. This iterative review process is vital for refining our messaging and ensuring technical and management solutions are clearly articulated.
• • Staying abreast of the federal procurement landscape is essential. You will actively monitor government procurement portals for new solicitations, amendments, Requests for Information (RFIs), and Requests for Proposal (RFPs). Your vigilance in tracking these updates will ensure VetsEZ is positioned to respond to opportunities in a timely and informed manner.
• • Supporting the actual submission of proposals and RFI responses through designated government portals is a core function. You will ensure all documentation is correctly formatted, uploaded, and submitted in accordance with specific agency requirements and deadlines, minimizing any risk of disqualification.
• • To streamline future proposal efforts, you will maintain and update our past performance repositories and proposal content libraries. This involves organizing and categorizing existing content, ensuring it is readily accessible and relevant for reuse, thereby enhancing efficiency and consistency.
• • You will assist in the development of compelling resumes and impactful past performance write-ups, working closely with subject matter experts and capture managers to craft narratives that highlight our strengths and experience. This also extends to supporting the creation of other essential proposal documentation.
• • Meticulous document management is paramount. You will be responsible for managing document formatting, ensuring a professional and polished appearance, conducting thorough editing to guarantee clarity and accuracy, implementing strict version control to prevent errors, and overseeing the final production of proposal documents.
• • A key objective is to contribute to the continuous improvement of our proposal processes and templates. Your insights and experience will be invaluable in identifying areas for enhancement, implementing best practices, and ensuring our proposal development methodology remains cutting-edge.
