  • • As a Provider Operations Associate at Wheel Health Inc., you will be instrumental in shaping the initial experience of our clinicians, ensuring a smooth and efficient transition from the credentialing phase to active, patient-facing practice. This critical 1099 contract role, operating full-time for a four-month period, demands a highly organized and data-driven individual with a passion for operational excellence and a knack for sophisticated professional communication.
  • • You will serve as the primary architect and executor of the clinician's "ramp-up" journey, taking ownership from the moment their credentialing is finalized through their first 90 days of practice. Your core mission is to ensure that each clinician is not only trained but also seamlessly integrated into our virtual care ecosystem, enabling them to perform at peak capacity and deliver exceptional patient care.
  • • A key responsibility involves managing the "Clinical Hand-off," ensuring a seamless and structured transition of clinicians from the credentialing team into their comprehensive onboarding and training workflows. This requires meticulous attention to detail and proactive coordination to prevent any disruption in the provider's readiness.
  • • You will meticulously guide clinicians through a structured 30/60/90-day success roadmap. This involves setting clear expectations, monitoring progress against specific productivity and quality milestones, and providing the necessary support and resources to help them achieve these goals. Your role is to proactively identify potential challenges and implement solutions before they impact performance.
  • • A significant aspect of this position is dedicated to "Process Optimization." You will be tasked with continuously auditing the entire clinician onboarding funnel. Your objective will be to identify and systematically remove any bottlenecks that may hinder efficiency or extend the "time-to-activation" for new providers. This involves a proactive approach to refining workflows and implementing best practices.
  • • "Data Interpretation" is central to your success. You will be expected to monitor and report on a range of clinician success metrics. This goes beyond simple reporting; you will need to interpret trends in engagement and performance data, drawing actionable insights to inform your decisions and suggest concrete workflow improvements. You will then be empowered to implement these suggested enhancements.
  • • You will provide "High-Touch Communication," acting as the direct and primary point of contact for clinicians during their crucial first three months. This necessitates delivering clear, concise, and professional guidance through various channels, including email and video conferencing. Building rapport and trust with our clinicians is paramount.
  • • This role is ideal for a "startup veteran" who thrives in a fast-paced environment, embraces data-driven methodologies, and excels at professional communication. You will be a "doer" who derives satisfaction from completing tasks, enhancing operational efficiency, and maintaining an organized pipeline of providers.
  • • Your ability to work with data will be crucial. You will leverage tools like Airtable, Looker, and Google Sheets to extract insights, track progress, and make informed decisions that drive provider success and operational efficiency.
  • • The role demands sophisticated verbal and written communication skills, enabling you to engage effectively with physicians (MD, DO) and Nurse Practitioners (NPs) as a professional peer. You must be able to articulate complex information clearly and build strong working relationships.
  • • Ultimately, you will be a key player in scaling Wheel's virtual care platform by ensuring that our provider network is robust, well-trained, and performing at the highest level, contributing directly to our mission of evolving the traditional care ecosystem.

🎯 Requirements

  • • 3+ years of dedicated experience in Onboarding or a high-level Operational role.
  • • Proven experience working in a fast-paced startup environment, comfortable with rapid pivots and building processes from scratch.
  • • Exceptional operational skills with a strong ability to execute, improve efficiency, and maintain an organized pipeline.
  • • Data fluency, with a strong ability to pull insights from Airtable, Looker, and Google Sheets.
  • • Sophisticated verbal and written communication skills, with the ability to engage professionally with clinicians (MD, DO, NP).
  • • Nice to have: Past experience working in a healthcare environment and company.
