We are actively seeking a dedicated and detail-oriented Real Estate Virtual Assistant to join our dynamic team and contribute to our mission. This is a full-time, entry-level position with an immediate start date, based in the Philippines.
  • As a Real Estate Virtual Assistant, you will play a crucial role in supporting a residential real estate business specializing in new builds. Your primary focus will be on enhancing lead management, ensuring meticulous CRM organization, conducting thorough property research, and providing light transaction coordination support. You will be instrumental in maintaining the flow of communication, keeping sales pipelines organized, and managing essential documents, thereby contributing to the overall smooth and efficient operation of the business.
  • Your responsibilities will encompass a wide range of critical tasks designed to streamline the real estate process. A significant part of your role will involve meticulous Lead & Contact Management. This includes diligently reviewing unread conversations, accurately tagging and segmenting incoming leads, and maintaining an impeccably organized pipeline to ensure no opportunity is missed. You will be the gatekeeper of crucial client interactions, ensuring timely and appropriate follow-ups.
  • Furthermore, you will be responsible for CRM Hygiene, a vital aspect of maintaining client relationships and sales momentum. This involves consistently updating client records, adding detailed notes, and ensuring accurate status updates within the CRM system. Your diligence in filtering leads properly will provide the sales team with actionable insights, enabling them to focus their efforts effectively.
  • Property Research will be another key area of your contribution. You will be tasked with setting up home searches tailored to specific buyer criteria, meticulously gathering and maintaining up-to-date property information. This research will empower potential buyers with the data they need to make informed decisions and assist agents in identifying suitable properties.
  • You will also provide essential Transaction Coordination Support. While licensed tasks will remain with the agent, your role in organizing transaction files, tracking essential documents, and supporting the document signing workflow will be invaluable. This administrative support ensures that the transaction process moves forward seamlessly and efficiently, reducing potential bottlenecks.
  • Effective Calendar & Appointment Management is paramount. You will be responsible for coordinating meetings, scheduling property showings, and managing follow-up appointments. Your organizational skills will ensure that the client's and agent's schedules are managed effectively, preventing conflicts and maximizing productivity.
  • For those eager to grow, Optional Growth Tasks may include monitoring realtor recruiting replies, engaging in LinkedIn outreach to expand the professional network, and assisting with light marketing initiatives using AI-assisted posting tools. These opportunities allow for skill development and broader contribution to the company's growth.
  • The client operates within the Residential Real Estate sector, focusing on new build properties. The Assistant Schedule is fixed from 8 AM to 5 PM PST, ensuring consistent support during core business hours. The tools you will utilize include GoHighLevel for CRM and social posting, Skyslope for transaction management (familiarity is preferred), a general CRM system, and standard Email & Calendar tools.
  • Exceptional English communication skills are a must. You will need High Reading/Comprehension to understand lead data, CRM notes, and property information. High Written communication skills are essential for professional and accurate documentation of leads, emails, and records. Professional Spoken communication will be required to coordinate effectively with the team and clients as needed.
  • Technical requirements are in place to ensure optimal performance and connectivity. These include a USB Headset with Noise Cancellation, a working Webcam, a computer with at least a 1.8 GHz processor and 4GB RAM, a primary internet connection of at least 25 Mbps cable, and a backup internet connection of at least 10 Mbps. Adherence to these technical standards is crucial for seamless remote work.
  • This role offers a competitive salary range of PHP30,000 - PHP33,000, reflecting the importance of your contribution.
