- • Coordinate virtual and in-person interview loops with recruiters and hiring managers to ensure seamless candidate experiences
- • Manage all logistics for onsite interviews at the San Francisco office, including candidate arrival, workspace setup, and departure wrap-up
- • Proactively resolve day-of interview issues such as last-minute scheduling conflicts, technical difficulties, or changes in participant availability
- • Communicate clearly and promptly with candidates and internal teams regarding interview details, updates, and expectations
- • Ensure candidates receive a warm, welcoming, and well-organized experience from first contact through post-interview follow-up
- • Partner with People Operations to support onboarding logistics for new hires, including coordination of office access, equipment, and orientation materials
- • Maintain accurate records of interview schedules, feedback cycles, and candidate interactions to support recruitment metrics and process improvements
- • Facilitate executive involvement in interviews when required, coordinating calendars and ensuring proper preparation and follow-up
- • Serve as the primary point of contact for candidates visiting the San Francisco office, providing guidance on parking, building access, and local amenities
- • Anticipate candidate needs and address concerns before they arise, ensuring a positive impression of Baseten’s culture and operations
- • Support the recruitment team by preparing interview materials, coordinating room bookings, and managing calendar invites across multiple time zones
- • Maintain a high standard of operational precision while adapting quickly to the fast-paced, evolving needs of a growing AI company
- • Ensure compliance with internal hiring protocols and external legal requirements, including the San Francisco Fair Chance Ordinance where applicable
- • Collaborate with cross-functional teams to align interview schedules with engineering, product, and leadership availability
- • Contribute to continuous improvement of the candidate experience by identifying bottlenecks and recommending process enhancements
🎯 Requirements
- • 1+ year of recruiting or HR experience
- • Detail-oriented and operationally strong—with proven ability to manage complex logistics
- • Clear and professional written and verbal communication skills
- • Personable and warm—with ability to make candidates feel welcome and supported
- • Ability to think on your feet and respond to last-minute changes
- • Previous experience in a recruiting or coordination role at a fast-paced company is a plus
