- • We are seeking a highly motivated and detail-oriented Recruiting Operations Manager to join our dynamic team in New York. This role is pivotal in shaping a recruiting function that mirrors the creativity, thoughtfulness, and data-driven approach inherent in our product. The ideal candidate thrives on data integrity, excels at optimizing systems and processes, and is passionate about enhancing the efficiency and effectiveness of our recruiting team. You will be instrumental in maximizing the potential of our recruiting technology stack, particularly Ashby, leveraging automation and AI to refine workflows from sourcing to offer management, and providing critical insights into our progress against key objectives. A significant aspect of this role involves leading and developing our exceptional team of Recruiting Coordinators.
- • *Key Responsibilities:**
- • **Ashby Instance Management:** Take full ownership of our Ashby Applicant Tracking System (ATS) instance, encompassing configuration, integration management, establishing best practices, and continuous optimization. You will serve as the primary subject matter expert for troubleshooting and enhancement initiatives, proactively identifying future needs and improvements.
- • **Recruiting Analytics and Reporting:** Design, build, and maintain our recruiting analytics infrastructure. This includes developing dashboards and reporting mechanisms that provide real-time visibility into critical metrics such as pipeline health, funnel conversion rates, time-to-fill, source quality, and candidate experience. Your role will involve translating complex data into clear, actionable insights that inform strategic decisions.
- • **Process Optimization and Workflow Enhancement:** Proactively identify and eliminate inefficiencies within our daily recruiting workflows to significantly improve the experience for recruiters and candidates. This could involve refining interview scheduling processes, streamlining offer letter generation, developing standardized templates, or creating comprehensive playbooks.
- • **Team Leadership and Development:** Manage, mentor, and develop our team of Recruiting Coordinators. Provide consistent day-to-day guidance, support their professional growth, and ensure they are equipped to deliver an unparalleled candidate experience.
- • **Recruiting Technology Stack Management:** Oversee and evolve our entire recruiting technology stack. This includes evaluating new tools, managing vendor relationships, ensuring seamless integration across platforms (e.g., Ashby, LinkedIn Recruiter, various sourcing tools), and maximizing their utilization. You will play a key role in assessing potential new technologies and developing innovative workflows using tools like Zapier and AI platforms such as Claude.
- • **Cross-functional Collaboration:** Work closely with hiring managers, recruiters, and other stakeholders to understand their needs and ensure our recruiting operations effectively support business objectives.
- • **Data Integrity and Governance:** Establish and enforce data governance policies within the ATS and other recruiting tools to ensure data accuracy, consistency, and compliance.
- • **Project Management:** Lead and execute various recruiting operations projects, from system implementations to process redesigns, ensuring timely and successful delivery.
- • **Candidate Experience Enhancement:** Continuously seek opportunities to improve the candidate journey through operational excellence and the strategic application of technology.
- • **Scalability and Future-Proofing:** Develop and implement operational strategies that support the company's rapid growth and evolving talent acquisition needs.
