  • • Support faculty and staff in the development, preparation, and submission of research grant proposals, contracts, subcontracts, and agreements, including interpretation of sponsor guidelines and funding requirements.
  • • Prepare and review detailed research budgets, ensuring accurate calculation of salary, percent effort, fringe benefits, materials, supplies, travel, equipment, and indirect costs in alignment with sponsor-specific rules such as salary caps, cost-sharing, and indirect rate policies.
  • • Review and submit between 0 and 175 funding proposals annually across multiple divisions, providing centralized administrative support to ensure timely and compliant submissions.
  • • Ensure all proposals comply with institutional policies, sponsor requirements, and standard operating procedures (SOPs), and accurately enter proposal data into the ePAS system.
  • • Manage awarded grants by evaluating contracts and subcontracts for compliance with federal, state, sponsor, and Cincinnati Children’s Hospital Medical Center (CCHMC) regulations.
  • • Maintain an active portfolio of divisions, providing ongoing guidance and administrative oversight to ensure sustained compliance and operational efficiency.
  • • Deliver high-quality customer service by building and sustaining strong relationships with faculty, divisional staff, and key stakeholders; respond promptly to inquiries and proactively identify and meet stakeholder needs.
  • • Collaborate across departments to ensure all research funding documentation is complete, accurate, and aligned with both institutional and external funding agency expectations.
  • • Serve as a primary point of contact for research administration matters, facilitating clear communication between researchers, sponsors, and internal compliance teams.
  • • Stay current with evolving federal, state, and sponsor regulations affecting research funding and apply updates to proposal and award management processes.
  • • Ensure adherence to institutional and regulatory standards throughout the entire grant lifecycle—from pre-submission through post-award management.
  • • Contribute to continuous improvement of grant administration processes by identifying inefficiencies and recommending enhancements to streamline workflows and reduce administrative burden.
  • • Maintain meticulous documentation of all proposal and award-related activities to support audit readiness and institutional accountability.
  • • Provide training and guidance to research teams on grant submission protocols, budgeting best practices, and compliance requirements.
  • • Coordinate with finance and compliance units to validate budget accuracy and ensure alignment with institutional financial policies.
