- • This ROI Medical Records Specialist role is critical to ensuring patient privacy and regulatory compliance by managing the release of sensitive medical information in accordance with HIPAA and state/federal laws, directly supporting Sharecare’s mission to improve care quality and lower costs across the healthcare ecosystem.
- • The position plays a vital role in enabling healthcare stakeholders—including health plans, providers, and pharmaceutical partners—to access accurate, timely medical records while safeguarding patient rights, making it a cornerstone of trust and operational integrity in Sharecare’s health information management services.
- • Day-to-day responsibilities include completing release of information requests by retrieving patient charts, scanning medical records accurately, and transmitting them according to established procedures and quality standards.
- • Associates date stamp and highlight pertinent data on all incoming requests to streamline processing and ensure traceability throughout the workflow.
- • Validating requests and authorizations for medical information release is performed rigorously to confirm compliance with patient consent, company policy, and HIPAA regulations before any disclosure occurs.
- • Quality checks are conducted on all work to verify accuracy, confidentiality, proper invoicing, and adherence to release protocols, minimizing errors and legal risk.
- • Equipment maintenance is essential—associates must keep scanners, copiers, fax machines, and other tools in excellent operating condition through regular cleaning and troubleshooting.
- • Delivering excellent customer service is a core function: associates must be attentive, respectful, and proactive in understanding client needs, following through on commitments, and identifying potential concerns before they escalate.
- • Handling incoming requests via mail, telephone, or fax is routine, requiring prompt attention and accurate logging to meet turnaround time expectations.
- • Maintaining a neat, clean, and professional personal appearance in line with company dress code standards is required to uphold a professional image in client-facing interactions.
- • Workspaces must be kept orderly, with records and files properly stored and secured before leaving the area to prevent loss or unauthorized access.
- • Associates are expected to maintain working knowledge of relevant state laws, fee structures for medical record releases, and evolving regulatory requirements to ensure ongoing compliance.
- • Flexibility and teamwork are key—individuals must willingly accept assignments, assist during backlogs, and support colleagues across facilities as needed to maintain operational continuity.
- • All responsibilities are carried out in strict accordance with client/site policies, including HIPAA, state/federal operational regulations, and labor laws, ensuring consistent adherence to legal and ethical standards.
- • Confidentiality, security, and ethical handling of privileged information are non-negotiable; associates must treat all medical data with the utmost conscientiousness while striving for efficient, effective, and accurate record releases.
🎯 Requirements
- • High School Diploma or GED is required for consideration.
- • Minimum of 2 years prior experience in a medical records department or similar healthcare administrative setting is preferred.
- • Proficiency in Microsoft Word and Excel is required, along with the ability to type at least 50 words per minute.
- • Familiarity with fax machines, copiers, and scanning equipment is necessary, coupled with a willingness to learn new tools and processes quickly.
- • Strong organizational skills, self-motivation, teamwork orientation, proven customer satisfaction abilities, and multitasking capacity are essential.
