- • Prepare and deliver accurate quotes and proposals for trade show exhibits and display solutions using provided templates and client guidelines.
- • Manage and update CRM data in HubSpot, including deals, contacts, and sales pipelines to ensure accurate tracking and reporting.
- • Follow up on inbound leads from trade shows and digital inquiries, ensuring timely and professional communication with potential clients.
- • Organize and import lead lists from various sources into CRM systems, maintaining data integrity and consistency.
- • Pull and compile relevant case studies, product images, and portfolio examples to support proposal development and client presentations.
- • Track project timelines, production schedules, and operational deadlines across custom exhibit and rental projects.
- • Coordinate with external vendors on production, shipping, logistics, and delivery timelines to ensure on-time project completion.
- • Monitor shipment statuses and confirm delivery updates with clients and internal teams to maintain transparency and accountability.
- • Maintain internal project checklists and tracking systems to ensure all operational tasks are completed on schedule.
- • Upload, format, and update website content in Shopify, including product listings, images, and promotional materials.
- • Assist with backend marketing tasks, including AI-generated content creation and image optimization using provided guidelines.
- • Organize and standardize internal files, folders, templates, and documentation for easy access and scalability.
- • Support the creation and refinement of standard operating procedures (SOPs) to improve operational efficiency.
- • Provide general administrative support across sales, operations, and marketing functions as needed.
- • Work within U.S. business hours (9AM - 5PM PST) to align with client schedules and ensure responsive communication.
- • Maintain a proactive, detail-oriented approach to managing multiple priorities without supervision.
- • Adapt quickly to new tools, systems, and processes while consistently delivering high-quality output.
- • Contribute to a growing business by supporting both client-facing sales activities and behind-the-scenes operational workflows.
- • Demonstrate strong follow-through on tasks, ensuring CRM systems, project trackers, and marketing assets remain accurate and current.
- • Communicate proactively with leadership and team members to flag issues, share updates, and propose solutions.
🎯 Requirements
- • 1-3 years of experience supporting sales, operations, project coordination, or administrative functions
- • Experience using HubSpot CRM or similar CRM systems
- • Familiarity with Shopify or website backend management
- • Strong organizational and time management skills
- • Ability to manage multiple priorities and deadlines with attention to detail
- • Comfort working independently while maintaining accountability and proactive communication
