  • • Rox Data Corp is seeking a highly motivated and experienced Senior Accountant to join our lean, high-ownership Finance team. This pivotal role is designed to be the internal captain of our month-end close process, ensuring the accuracy, timeliness, and audit-readiness of our financial statements. As a fast-moving Series A company operating at the cutting edge of AI and revenue technology, we are building robust financial systems that support rapid growth and informed decision-making. You will be instrumental in enhancing our accounting quality, establishing scalable foundations, and bringing core accounting ownership in-house, reducing our reliance on external firms.
  • • In this hands-on, close-first role, you will own the end-to-end execution of the month-end close. This includes managing the close calendar, defining timelines, assigning ownership, and ensuring Service Level Agreements (SLAs) are met with both our external accounting firm and internal stakeholders. You will drive accountability through daily close stand-ups, establish clear escalation paths for any bottlenecks, and define a precise 'definition of done' for all deliverables. A critical aspect of your responsibility will be ensuring meticulous month-end cutoffs and period discipline, accurately recording expenses in the correct period through diligent application of accruals, deferrals, and service-period logic.
  • • You will be responsible for reviewing and approving the work product of our external accounting firm, including proposed journal entries, reconciliations, and draft financial statements. Your keen eye for detail and sound accounting judgment will ensure accuracy, completeness, and adequate supporting documentation for all financial reporting.
  • • A significant part of this role involves building and maintaining the core accounting infrastructure. This includes owning and maintaining key balance sheet reconciliations such as cash, accounts payable, accrued expenses, and prepaid expenses. You will establish a clear aging and resolution loop for any reconciling items and be able to articulate the details of each reconciliation. Furthermore, you will build and maintain essential schedules that streamline the close process, such as roll-forwards for prepaids and accrual schedules, and track committed spend and credits where applicable. You will also implement and enforce standards for supporting documentation and audit trail hygiene, defining requirements for journal entry support and record formats.
  • • To enhance close readiness, you will partner closely with the emerging Finance Operations function. Your collaboration will focus on improving the completeness of documentation, standardizing coding practices, and reducing exceptions in financial data inputs.
  • • A key strategic initiative for this role is to develop and own the accrual methodology for our usage-based AI and cloud vendors. This involves building repeatable and reliable accrual methods for critical vendors such as OpenAI, Anthropic, Gemini (LLM providers), AI Search API providers, and infrastructure services like AWS, Azure, GCP, Snowflake, Databricks, and Fivetran. You will create detailed, vendor-specific accrual fact sheets that document billing models, data sources, cutoff rules, calculation methodologies, journal entry templates, and true-up processes. You will either perform or oversee the monthly calculation and true-up of these usage-based accruals, diligently investigating material variances and continuously refining the methodologies.
  • • To ensure scalability and compliance, you will partner with Engineering and technical owners to validate usage drivers, identify anomalies in data, and ensure the accuracy and timeliness of accrual inputs. This cross-functional collaboration is vital for maintaining the integrity of our financial data.
  • • You will also contribute to building scalable accounting policies and controls. This includes establishing lightweight accounting policy memos for recurring areas such as prepaids, deferrals, accrual thresholds, and the classification of costs (e.g., COGS vs. R&D). You will support the implementation of by-class reporting within QuickBooks Online (QBO), defining class rules, ensuring consistency, and collaborating with Finance Ops on compliance and coding guardrails. Additionally, you will work to strengthen internal controls and segregation of duties in partnership with Finance Ops and our external agency, focusing on evidence of approvals, documentation standards, and maintaining clean audit trails.
  • • Your role will involve managing and partnering effectively with our external accounting firm. You will serve as the primary internal point of contact, providing clarity on spend coding and submission, resolving queries promptly, and ensuring smooth handoffs. Maintaining a high-quality working cadence with the firm is essential, characterized by clear deliverable expectations, constructive feedback loops, and a commitment to continuous improvement.
  • • Success in this role means becoming Rox's trusted internal close captain, ensuring financials are consistently accurate, supported, and audit-ready. You will drive predictability and accountability in the close process, refine accrual methodologies for complex vendors, and build a solid accounting foundation that scales with our growth. Your efforts will directly contribute to faster, more accurate financial reporting, enabling better strategic decision-making across the company.
