- • Own the global operational engine for Zip’s workplace portfolio, leading systems, standards, and partnerships that ensure all offices run safely, consistently, and efficiently at scale.
- • Lead a distributed team of Workplace Operations leads and coordinators across multiple locations, establishing clear operating rhythms, coaching, accountability, and consistent service standards.
- • Develop and execute global vendor strategy including sourcing, RFPs, contract negotiations, SLAs, KPI development, compliance, credentialing, renewals, and ongoing benchmarking.
- • Build and continuously evolve Workplace’s operational framework by creating scalable playbooks, SOPs, escalation paths, incident response protocols, and location-specific operating standards.
- • Manage the Workplace operational budget in partnership with the Head of Workplace and Finance, tracking spend, governing contracts, managing renewals, and proactively identifying financial risks or opportunities.
- • Lead safety and security programs including onsite security operations, emergency preparedness, and incident response across all global locations.
- • Oversee facilities maintenance programs across the portfolio, balancing preventative maintenance, reactive work, and capital improvements to ensure spaces remain safe, reliable, and well-maintained.
- • Set and uphold operational standards for every Zip workplace to create environments that are safe, thoughtful, and consistently delightful for employees, whether working in-office or remotely.
- • Partner closely on physical security initiatives including access control, vendor management, and emergency response planning.
- • Use operational metrics, occupancy insights, employee feedback, and financial performance to drive continuous improvement in workplace operations.
- • Translate complex operational data, risks, and tradeoffs into actionable recommendations that enable confident decision-making by leadership.
- • Build trust through strong relationships with frontline teams, cross-functional stakeholders, vendors, and executives.
- • Balance urgency with thoughtful execution, knowing when to move quickly and when to invest in scalable, long-term solutions.
- • Take ownership by proactively identifying operational gaps, solving problems before escalation, and continuously raising the bar for operational excellence.
- • Ensure workplace operations support both office-based and distributed employees through thoughtful programs and scalable strategies.
- • Implement workplace technology platforms, operational reporting tools, or process automation to improve efficiency and scale.
- • Support capital projects, office openings, relocations, or large-scale workplace transformations as needed.
- • Maintain compliance with regional regulations and local operational considerations across international markets.
- • Foster a culture of disciplined execution, thoughtful systems, and relentless focus on the employee experience.
🎯 Requirements
- • Significant experience leading Workplace, Facilities, Corporate Real Estate, or Workplace Operations within a high-growth organization, including managing distributed teams and multi-site operations.
- • Proven success building, transforming, or scaling a workplace function by establishing systems, standards, and operating rhythms that enable sustainable growth.
- • Strong financial and operational acumen, with experience managing operating budgets, contract governance, forecasting, and long-range planning.
- • Experience managing global or multi-country workplace operations, with an understanding of regional compliance requirements, vendor ecosystems, and local operational considerations.
- • Experience partnering closely on physical security programs, including access control, vendor management, emergency preparedness, and incident response.
- • Demonstrated ability to operate autonomously in a fast-moving environment while balancing strategic priorities with operational excellence.
