  • • Own the end-to-end lifecycle of 401(k) plan terminations and deconversions, ensuring every departing client experiences a seamless, compliant, and on-time transition to their new recordkeeper or final distribution.
  • • Serve as the single point of accountability for all operational tasks tied to plan closures: generating final participant statements, coordinating asset transfers, validating census data, and confirming regulatory filings (Form 5500, 8955-SSA, PBGC, etc.) are accurate and submitted within statutory deadlines.
  • • Build and maintain a detailed transition project plan for each client, mapping milestones, dependencies, and risk triggers; proactively flag delays to internal stakeholders and external partners so corrective action can be taken before SLAs are missed.
  • • Partner daily with Client Success, Legal, Compliance, Product, and Engineering teams to translate complex client requests into executable workflows, ensuring that custom provisions—such as unique vesting schedules, loan payoffs, or QDRO distributions—are honored without compromising data integrity or regulatory requirements.
  • • Execute high-volume, high-accuracy transactional work in our recordkeeping system and Salesforce, reconciling cash and share balances down to the penny and documenting every step for audit readiness.
  • • Communicate empathetically and clearly with plan sponsors, participants, and third-party administrators via email, phone, and Zoom, translating technical jargon into plain language so every party understands timing, tax implications, and next steps.
  • • Continuously refine our termination playbook by identifying process gaps, proposing system enhancements, and drafting SOPs that reduce manual touchpoints and cut average deconversion time by 20% year-over-year.
  • • Analyze historical termination data to surface trends—such as common error codes or peak exit months—and present findings in monthly Ops Reviews, influencing roadmap priorities and staffing models.
  • • Champion a culture of compliance by staying current on ERISA, IRS, and DOL guidance; schedule quarterly lunch-and-learns to upskill teammates on regulatory changes that affect plan wind-downs.
  • • Contribute to ad-hoc strategic initiatives, including M&A carve-outs, bulk data migrations, and new product launches, lending your deep domain expertise to ensure operational readiness from day one.
  • • Leverage SQL, Excel, and BI dashboards to build self-service reports that give leadership real-time visibility into termination pipeline health, aging cases, and customer satisfaction scores.
