- • Monitor and maintain the Accounts Payable inbox, reviewing and responding to incoming emails promptly to ensure timely resolution of invoice-related inquiries
- • Enter invoice and payment data accurately into the Transportation Management System (TMS) on a consistent schedule, ensuring all fields are complete and correctly populated
- • Identify and flag discrepancies in invoices, including missing purchase orders, duplicate entries, or mismatched amounts, before payments are processed
- • Maintain and update digital records for Notice of Assignment and Letter of Release documents within the TMS, ensuring proper filing and accessibility
- • Collaborate with the finance team to resolve payment issues, provide clarification on documentation, and support timely reconciliation of accounts
- • Learn and use the Ascend platform to support core AP workflows, with full training provided to ensure proficiency
- • Perform daily data entry tasks using Microsoft Outlook and Excel, maintaining high accuracy and consistency across all transactions
- • Keep digital documentation organized with consistent naming conventions and proper file storage to enable easy retrieval and audit readiness
- • Communicate discrepancies and missing information clearly and professionally via written email to internal teammates and external vendors
- • Take ownership of your assigned invoice queue, proactively tracking outstanding items to full resolution rather than waiting for escalation
- • Adhere to strict security protocols including MFA, least-privilege access, and secure file-sharing practices in all daily activities
- • Participate in daily Slack/Zoom/Teams standups and scheduled check-ins to maintain alignment with the finance team and report progress
- • Support additional administrative tasks as needed by the finance team, including document compilation, record audits, and workflow updates
- • Work during U.S. business hours, which requires availability during night shift hours based on Philippine time zone
- • Ensure all work is completed with precision, prioritizing cleanliness of data, accuracy of records, and reliability of communication over speed
🎯 Requirements
- • High school diploma or equivalent required
- • Strong attention to detail and accuracy in data entry
- • Proficiency in Microsoft Outlook and Excel
- • Confident written and spoken English
- • Ability to work during U.S. business hours (night shift based in Philippines)
- • Full-time exclusivity required — no other part-time or freelance engagements permitted
