- • The US Payroll Tax Operations Specialist at Deel plays a critical role in ensuring accurate, compliant, and timely payroll tax processing for customers across the United States, directly supporting Deel’s mission to unlock global opportunity by removing barriers to compliant international employment.
- • This role is essential to maintaining Deel’s reputation as a trusted global payroll provider, where precision in tax compliance protects both customers and the company from financial and legal risk while enabling seamless scaling of global teams.
- • Day to day, the specialist will collaborate closely with the Payroll Operations team to execute end-to-end payroll tax processes, including calculating, withholding, and remitting federal, state, and local taxes in accordance with jurisdictional requirements.
- • They will ensure ongoing compliance by monitoring legislative and regulatory changes at the federal, state, and local levels, updating internal processes and tax tables promptly to reflect new rates, thresholds, or filing rules.
- • The specialist will assist with the preparation, review, and submission of payroll tax filings (including Forms 941, 940, W-2, W-3, and state-specific returns), perform reconciliations between payroll registers and tax liabilities, and validate calculations using MasterTax and other payroll systems.
- • They will serve as a first point of contact for payroll tax inquiries from internal stakeholders, customers, and tax authorities, providing clear, accurate responses and escalating complex issues when necessary.
- • The role involves investigating and resolving payroll tax discrepancies by tracing errors to source, coordinating with payroll, finance, and legal teams, and documenting root causes and corrective actions to prevent recurrence.
- • The specialist will contribute to operational excellence by identifying inefficiencies in tax workflows—such as manual data entry or redundant validation steps—and proposing automation, process redesign, or system enhancements to improve accuracy and scalability.
- • They will maintain comprehensive, audit-ready documentation of payroll tax procedures, compliance matrices, jurisdictional rules, and change logs, ensuring knowledge transfer and readiness for internal or external audits.
- • Additionally, the specialist will assist in preparing tax-related reports and analyses for internal reviews, management reporting, and audit support, helping leadership assess compliance posture and operational performance.
- • Acting as a subject matter expert, they will provide guidance and training to junior team members and cross-functional partners on US payroll tax nuances, fostering a culture of compliance and continuous learning within the Payroll Operations team.
🎯 Requirements
- • 2–4 years of direct experience in US payroll tax, payroll operations, or a closely related field such as tax compliance or accounting.
- • Mandatory proficiency with MasterTax software for payroll tax calculation, filing, and reporting.
- • In-depth knowledge of federal, state, and local US payroll tax regulations, including withholding rules, unemployment taxes (FUTA/SUTA), and filing deadlines.
