- • Own and execute the end-to-end candidate and employee experience for Rillet’s NYC office, ensuring a seamless, welcoming, and efficient on-site experience from first contact through onboarding and beyond.
- • Manage all recruiting operations within Ashby, including job posting creation, interview scheduling, candidate communication, pipeline reporting, funnel hygiene, offer coordination, and background check tracking.
- • Design, build, and maintain automations and workflows in Ashby and across the HR tech stack to eliminate manual tasks and improve team efficiency, including integrations with AI tools like Claude Skills and shared prompts.
- • Oversee workplace operations in the NYC office, including candidate greetings, new hire first-day setup, team lunches, office events, and resolving ad-hoc logistical needs that impact employee experience.
- • Consolidate and document People Ops processes into clear, accessible playbooks to reduce repetitive questions and standardize execution across hiring managers and team members.
- • Handle core HR administrative tasks including employment verifications, leave management, HRIS data hygiene, onboarding/offboarding workflows, and compliance-related requests.
- • Proactively identify inefficiencies in existing systems or processes and initiate projects to streamline, unify, or rebuild them — such as merging three disconnected workflows into one automated system.
- • Partner with IT and hiring managers to implement and optimize tools and AI-driven solutions that accelerate People & Talent operations, with a focus on practical, shipped outcomes — not just demos.
- • Respond to urgent, ad-hoc People Ops requests across Slack and email, often at the end of the day, with speed, accuracy, and ownership — no task is too small or too late.
- • Maintain a high standard of organizational clarity by documenting every process, updating templates, and ensuring all systems reflect current practices.
- • Embrace ambiguity and operate effectively in a fast-paced, rapidly evolving startup environment with minimal pre-existing structure.
- • Champion the in-person office experience as a core driver of culture and productivity, actively contributing to the energy and cohesion of the NYC team.
- • Stay curious and experimental: test new tools, read industry trends, and prototype solutions on your own initiative — shipping improvements even when not explicitly asked.
- • Support the broader People & Talent team by stepping into any operational need, from coordinating offsite logistics to updating compensation benchmarks, always with a bias toward action.
🎯 Requirements
- • 3-5 years of experience in recruiting, people ops, biz ops, workplace ops, office management, or executive assistance
- • Proven ability to act autonomously and fix broken systems without waiting for permission
- • Strong written communication and documentation skills
- • Hands-on experience building real automations with AI tools and HR platforms (e.g., Ashby, Claude Skills)
- • Comfort operating in ambiguous, high-growth environments with little structure
- • Preference for in-person work and belief in the value of office-based collaboration
