- • Serve as the first point of contact for patients seeking care for migraine and headache disorders at the Beverly Hills clinic, providing a calm, quiet, and compassionate welcome tailored to those with light sensitivity and chronic pain.
- • Greet patients upon arrival and personally escort them to exam rooms immediately when the provider is available, ensuring seamless clinical flow and minimizing wait times in common areas.
- • Act as an Exit Concierge by scheduling follow-up appointments for patients right after their visit, ensuring continuity of care and clear next steps for treatment.
- • Respond to patient inquiries regarding office policies, scheduling procedures, insurance questions, and general clinic information with clarity and empathy.
- • Prepare exam rooms daily by setting out procedure trays, organizing instruments, and ensuring all necessary supplies are ready for providers before patient visits begin.
- • Receive, inspect, and sign for incoming medical packages, including temperature-sensitive pharmaceuticals and supplies, verifying accuracy and condition upon delivery.
- • Maintain inventory of medical supplies in the back room and designated refrigerators, restocking items as needed while strictly following safety, storage, and expiration protocols.
- • Monitor supply levels proactively to prevent shortages and coordinate reorders with the Senior Operations Manager as required.
- • Uphold strict confidentiality and compliance with HIPAA regulations at all times when handling patient records, scheduling data, and clinical information.
- • Operate Electronic Health Records (EHR) systems and basic scheduling software to manage patient check-ins, appointment updates, and documentation.
- • Maintain a scent-free, low-lighting environment in all patient-facing areas to accommodate the specific sensory needs of migraine patients.
- • Stand and walk for extended periods throughout the day while escorting patients between reception and exam rooms.
- • Lift and move packages and medical supplies weighing up to 20 pounds as needed for inventory management and supply restocking.
- • Collaborate with clinical staff to ensure smooth daily operations and address any logistical or administrative barriers to patient care.
- • Adapt to evolving clinic workflows as patient volume increases, with potential to expand from 1 to additional days per week based on operational needs.
🎯 Requirements
- • High School Diploma or GED
- • 1–2 years of experience in a medical front office or high-end hospitality role preferred
- • Demonstrated ability to communicate with empathy and a soft, calming tone when interacting with patients in pain
- • Awareness of and commitment to maintaining a scent-free, low-lighting environment for migraine patients
- • Familiarity with Electronic Health Records (EHR) and scheduling software
- • Ability to adhere strictly to HIPAA guidelines and maintain patient confidentiality
