  • • The Administrative Business Partner will own end-to-end office operations for European hubs, including vendor management, budget tracking, facilities coordination, and workplace analytics, while supporting office expansions, relocations, and new site launches in partnership with cross-functional teams.
  • • Day-to-day responsibilities include complex calendar and travel management for executives, drafting and editing internal/external communications, managing expense reports, serving as a point of contact between leadership and stakeholders, and ensuring action items from meetings are tracked and communicated effectively.
  • • The role involves designing and improving in-office experience strategies, owning logistics for team events and leadership visits, anticipating employee needs, and fostering a culture of transparency, professionalism, and positive energy across the office environment.
  • • The Administrative Business Partner will partner with IT, Security, People, Finance, and Legal to establish scalable documentation, infrastructure, and standards that support company growth, and collaborate with international onboarding teams to ensure smooth first-day experiences for new hires.
  • • This role requires living within commuting distance of the London, UK hub, with in-person presence essential for supporting office operations, team co-working days, and on-site event coordination, reflecting the hands-on nature of the position.
  • • Success in this role is defined by proactive problem-solving, ownership of outcomes beyond task completion, stepping outside formal responsibilities to address critical needs, and using Whatnot as a buyer or seller to bring real product context to the work.

🎯 Requirements

  • • 3+ years of proven experience as an Executive Assistant, Personal Assistant, or similar role in a high-growth environment
  • • Excellent Google Suite and Slack knowledge, with outstanding organisational and time management skills
  • • Discretion and confidentiality, excellent verbal and written communication skills, and ability to prioritise and handle multiple tasks at once
