- • Scale Army is seeking a highly reliable and meticulously detail-oriented Administrative Support Generalist (Middle) to become an integral part of our core operational systems, focusing on finance, HR, and internal administration. This position is fundamentally execution-heavy and systems-based, playing a critical role in maintaining the accuracy, consistency, and usability of our internal data across all departments. Your primary responsibility will be ensuring the integrity of our operational data, rather than defining strategic direction. - • In this role, you will be instrumental in **System Feeding & Data Hygiene**. This involves performing daily data entry and meticulous updates across various internal systems. Your keen eye for detail will be crucial in maintaining system accuracy, consistency, and completeness, ensuring that all data points are correct and aligned. You will be responsible for identifying and flagging any discrepancies, missing information, or misalignments in the data, proactively addressing them to prevent downstream issues. Furthermore, you will actively support ongoing system hygiene efforts across all relevant tools and digital folders, ensuring a well-organized and reliable data infrastructure.
- • A significant part of your contribution will be in **Finance Operations Support**, acting as a backup for Accounts Payable (AP) and Accounts Receivable (AR) functions. This includes the accurate registration and diligent tracking of invoices, payments, and receipts. You will assist in managing AP and AR workflows, ensuring timely processing and reconciliation. Your role will involve assisting with reconciliations between different systems and source records, verifying that financial data is accurate and consistent. Maintaining organized and accessible documentation for finance review will be a key responsibility. Experience with tools such as QuickBooks (or similar accounting systems) and Stripe (for transactions, payouts, and invoice references) will be highly valuable.
- • You will also provide essential support for **HRIS & Payroll**. This entails the accurate registration and consistent maintenance of employee and contractor records within our Human Resources Information System (HRIS). You will support HRIS updates, manage onboarding and offboarding data, and process changes to employee information. Assisting with payroll reconciliation and validation will ensure that compensation is processed accurately and on time. Maintaining the accuracy, currency, and proper storage of all personnel data is paramount. Familiarity with platforms like Deel (for contractor management and payroll support) will be advantageous.
- • Furthermore, your role will encompass **Administrative & Documentation Support**. This involves maintaining structured folder systems, adhering to file naming conventions, and ensuring regular backups of critical data. You will be responsible for the secure storage of both operational and personnel documentation, adhering to strict confidentiality and security protocols. You will also support general administrative requests from the Finance and Operations teams, ensuring smooth day-to-day operations. A strong commitment to following Standard Operating Procedures (SOPs) and contributing to process consistency will be highly valued.
- • This role is fundamentally about **Operational Systems-driven Execution**. You will be the backbone of our internal data management, ensuring that our finance and HR workflows operate without friction. 🎯 Requirements
- • Minimum of 5 years of experience in administrative, operations, or systems-support roles, with a strong emphasis on data entry, reporting, and system operations.
- • Proven familiarity with finance-adjacent processes such as AP/AR support and invoicing, and experience using ERP, accounting, or operational systems (e.g., SAP, QuickBooks, or similar).
- • Excellent proficiency in Excel and Google Sheets, including advanced skills in filters, formulas, and reconciliation tasks.
- • A strong process-oriented mindset, demonstrated ability to follow rules and SOPs, and a low-ego, execution-focused approach to tasks.
