  • • Be the human bridge between “You’re hired!” and “Welcome aboard!” As an Area Candidate Experience Specialist at First Student, you will own the critical first chapter of every new team member’s story—safely guiding 5,000+ drivers, attendants, and location staff across Minnesota from signed offer to confident first day behind the wheel or beside a student.
  • • Own the end-to-end onboarding journey. From the moment a candidate accepts an offer, you become their single point of contact, shepherding them through background checks, DOT medical verifications, drug screens, I-9s, and state-specific licensing—all while keeping the experience warm, transparent, and on schedule.
  • • Master the art of scheduling logistics. You will coordinate hybrid training calendars that may include virtual classroom sessions, behind-the-wheel evaluations, and in-person safety modules. Balancing candidate availability, trainer capacity, and fleet readiness, you’ll ensure every seat is filled and every learner is prepared.
  • • Drive compliance without the cold shoulder. Working hand-in-hand with Employment Standards, Safety, and Legal, you’ll interpret FMCSA, ADA, and EEOC regulations and translate them into simple, friendly steps for new hires. You’ll maintain 100% accuracy in digital files and physical folders, protecting both the candidate and the company.
  • • Serve as the voice of First Student. Whether a candidate is anxious about a background check delay or confused about permit paperwork, you’ll answer questions via phone, email, and text with empathy and urgency, turning potential drop-offs into enthusiastic ambassadors.
  • • Leverage technology to create magic moments. Using our ATS (iCIMS), CRM dashboards, and Microsoft 365 suite, you’ll automate reminders, trigger welcome videos, and track real-time KPIs—reducing time-to-hire while preserving the human touch.
  • • Collaborate across a matrix of experts. Daily huddles with Talent Acquisition, HR Business Partners, Regional Training Managers, and Operations Supervisors keep you plugged into staffing forecasts, route changes, and safety alerts so onboarding plans stay agile.
  • • Champion continuous improvement. You’ll mine weekly reports for bottlenecks—maybe medical cards are taking 48 hours too long or a new vendor portal is clunky—then pilot fixes, A/B test communications, and share best practices across the national CX network.
  • • Celebrate every milestone. You’ll design micro-celebrations—digital badges for completing e-learning, mailed welcome kits branded with our “Safest Ride to School” promise—so new hires feel part of the First Student family before they ever pick up a key.
  • • Travel lightly but meaningfully. Up to 10% local travel may be required to attend quarterly training summits, ride-along observations, or pop-up onboarding fairs in Duluth, Rochester, or the Twin Cities, ensuring remote doesn’t mean distant.
  • • Fuel our mission. By delivering an unmatched onboarding experience, you directly enable drivers to arrive on day one focused, compliant, and inspired—ready to give 5 million students the safest, most caring ride possible.

🎯 Requirements

  • • High-school diploma or equivalent required; Associate’s or Bachelor’s degree in HR, Business, Communications, or related field preferred
  • • 1+ years of experience in customer service, recruiting coordination, HR onboarding, or similar high-volume, metrics-driven environment
  • • Demonstrated proficiency with an ATS (iCIMS preferred) and Microsoft Office Suite (Excel pivot tables, Outlook calendar wizardry, Teams collaboration)
  • • Ability to manage 50–75 concurrent candidate files while maintaining 98% accuracy and a 24-hour response SLA
  • • Strong knowledge of DOT, FMCSA, EEOC, ADA, and state-specific employment regulations—or proven ability to learn complex compliance quickly
