📋 Description

• As an Associate Executive Business Partner at Latent AI, Inc., you will serve as a trusted operational multiplier for the company’s founders and executive leadership, directly enabling them to focus on strategic priorities by owning complex calendaring, travel logistics, and executive communications in a high-velocity startup environment. Your role is critical to maintaining leadership effectiveness across time zones and frequent travel, ensuring that no detail falls through the cracks and that executives can operate with maximum clarity and impact.
• Day to day, you will manage complex, high-volume calendars across multiple executives and time zones, prioritizing requests and protecting focus time while balancing competing business needs; coordinate internal, external, and customer meetings with precision, handling urgent changes and reschedules quickly and accurately; draft professional communications on behalf of leadership, including emails, agendas, meeting notes, and follow-ups; book domestic and international travel—flights, hotels, and ground transportation—optimizing for efficiency and executive preferences while monitoring trips proactively to adjust for delays or cancellations; create clear itineraries and briefing materials, track expenses and receipts for reimbursement; maintain organized documentation and shared resources using tools like Notion and Google Workspace; support offsites, customer visits, and company events by managing logistics and materials; track action items across leadership meetings to ensure accountability and follow-through; and build and maintain lightweight processes and templates to improve operational consistency and scalability.

You will sharpen your judgment, communication, and systems-thinking abilities while gaining visibility into strategic decision-making processes—positioning yourself for future growth into senior operations, chief of staff, or executive leadership roles within the tech ecosystem.

🎯 Requirements

• 3–6+ years of experience supporting executives or senior leadership in a corporate or startup environment
• Extensive experience managing complex calendars across multiple time zones and coordinating high-volume travel logistics
• Excellent organization, meticulous attention to detail, and strong written and verbal communication skills
• Ability to manage multiple competing priorities simultaneously in a fast-paced, ambiguous environment
• High discretion and comfort handling confidential information with integrity
• Proactive problem-solver who anticipates needs and acts without waiting for direction
• Proficiency with Google Workspace, Superhuman, Slack, Notion, and travel booking platforms such as Navan, Concur, or airline portals
