  • • The Associate Manager, State Arbitration Operations role is critical to Pivotal Health’s mission of helping healthcare providers recover fair reimbursement by building and scaling the company’s emerging state-level dispute resolution function, starting with Texas arbitration and laying the groundwork for multi-state expansion.
  • • This role bridges operational execution and strategic development, transforming complex, state-specific arbitration processes into structured, repeatable workflows that reduce administrative burden and improve outcomes for providers navigating fragmented reimbursement systems.
  • • Day-to-day responsibilities include helping build the state arbitration function from the ground up by supporting the development of workflows and operational processes tailored to state-specific rules, beginning with Texas and designed for scalability.
  • • Managing state negotiation workflows by reviewing health plan communications, evaluating settlement offers, tracking negotiation timelines, and ensuring disputes progress efficiently through each stage of the arbitration process.
  • • Creating repeatable processes through detailed documentation of workflows, establishing clear operational guidelines, and refining systems to support consistent case handling and team alignment.
  • • Supporting expansion into additional states by researching state-specific arbitration rules, timelines, and procedures, and operationalizing new workflows as the team evaluates opportunities for growth.
  • • Overseeing day-to-day operations by guiding dispute resolution coordinators, ensuring accurate case tracking, monitoring workload distribution, and maintaining data integrity across active arbitrations.
  • • Bringing structure to an evolving function by organizing priorities, clarifying responsibilities, and improving team processes as the state arbitration program scales and adapts to new regulatory environments.
  • • Partnering cross-functionally with Product, Engineering, Finance, and Customer Success teams to ensure state arbitration processes are seamlessly integrated into the broader dispute lifecycle and supported by appropriate technology and data flows.

🎯 Requirements

  • • 4+ years of experience in healthcare operations, revenue cycle management (RCM), payer disputes, or arbitration workflows
  • • Experience managing or leading a team, either as a people manager or team lead responsible for coaching, workflow oversight, or performance management
  • • Strong analytical skills and comfort working in Google Sheets / Excel to manage case workflows and operational tracking
  • • Ability to bring clarity and organization to complex or evolving operational environments
  • • Strong written communication skills when negotiating or corresponding with health plans
  • • Experience working with payer disputes, healthcare negotiations, or arbitration processes
