- • Lead end-to-end RFP response processes for enterprise accounts (3,000+ FTEs), managing technical memory, administrative documentation, compliance, customized materials, presentation decks, and account-based marketing documents.
- • Coordinate cross-functional inputs from Sales, Product, Legal, Operations, Care, and Insurance teams to ensure technical accuracy, consistency, and alignment across all proposal components.
- • Own and manage the end-to-end RFP calendar using reverse planning from submission deadlines; organize kick-off meetings, assign deadlines, track contributor progress, send structured reminders, and proactively escalate blockers to guarantee zero missed submissions.
- • Maintain high standards of quality across concurrent RFPs without compromising depth, accuracy, or persuasive impact, ensuring responses are both technically rigorous and commercially compelling.
- • Support sales teams in engaging key client stakeholders and preparing for negotiation rounds by aligning proposal narratives with client selection criteria and "hot buttons."
- • Contribute to defining response strategy alongside Sales by analyzing RFP requirements, identifying client priorities, and shaping messaging that differentiates Alan’s integrated prevention insurance model.
- • Build and maintain a centralized RFP knowledge library with standardized templates, past responses, and public sector tender insights to improve win rates and reduce response time.
- • Implement AI tools and automation processes (e.g., LLMs, RFP management software like Responsive or Loopio) to enhance response efficiency, consistency, and handover quality.
- • Collaborate with other tender managers across France, Spain, Belgium, and Canada to share best practices, adapt proven methodologies, and scale successful approaches across regions.
- • Deliver competitive intelligence by monitoring how rivals respond to similar enterprise tenders in insurance, benefits, and SaaS sectors, informing strategic positioning in future bids.
- • Translate complex technical and operational features of Alan’s platform into clear, persuasive narratives tailored to enterprise decision-makers across public and private sectors.
- • Ensure meticulous attention to detail across all deliverables, from compliance checklists to formatting consistency and legal accuracy.
- • Thrive in a fast-paced, ambiguous environment with high-pressure deadlines, maintaining composure and productivity while managing multiple high-stakes RFPs simultaneously.
- • Demonstrate a "no-task-is-too-small" mentality, actively supporting teams with logistical, editorial, and coordination needs beyond core RFP responsibilities.
- • Maintain full working proficiency in French and advanced English for drafting, reviewing, and presenting materials in both languages to diverse stakeholders.
🎯 Requirements
- • 4+ years of experience in project management, consulting, or tender/bid management
- • Proven experience managing complex, multi-stakeholder Enterprise RFPs (ideally with CAC40 or SBF120 companies)
- • Full working proficiency in French (spoken and written) and advanced level in English
- • Meticulous attention to detail and ability to manage multiple concurrent RFP timelines without quality trade-offs
- • Proficiency in RFP management software (e.g., Responsive, Loopio), Salesforce, Notion, and AI/LLM tools
- • Living in or willing to relocate to Paris
