- • Build and implement operational infrastructure from scratch to support a fast-growing fintech startup scaling from 15 to 80+ employees, eliminating ad hoc processes currently handled by engineers and product leads.
- • Own cross-team coordination across product, design, engineering, and implementations, maintaining real-time visibility into team capacity and assigning work based on availability rather than founder memory or Slack DMs.
- • Design and maintain a lightweight, scalable system for tracking workload, active projects, and delivery risks across all teams, surfacing early warning signs like stalled initiatives, overloaded teams, or unaddressed customer concerns before they escalate.
- • Establish and enforce the company’s operational rhythm by owning meeting cadences, documenting agendas, tracking action items, scheduling 90-day reviews, and ensuring all OOO plans are recorded and visible.
- • Manage staffing and project handoffs dynamically—reallocating work when team members go on PTO, resolving coverage gaps during escalations, and updating team coverage maps in real time to prevent dropped tasks.
- • Handle vendor and logistics operations including office space coordination, software contract management, expense approvals, and travel booking for offsites and team meetups in partnership with People Operations.
- • Create all operational documentation that currently does not exist: staffing plans, project trackers, meeting templates, status reports, and process guides—all written clearly and concisely to ensure adoption.
- • Balance structure and agility by introducing just enough process to prevent failures without creating bureaucratic overhead; prioritize usefulness over formality.
- • Work directly with the founder and team leads daily, providing direct, thoughtful feedback on capacity constraints, overcommitments, and misaligned priorities without overstepping into product or people management decisions.
- • Operate with high autonomy in ambiguity, juggling diverse daily tasks such as updating project boards, chasing support tickets, organizing travel, and building staffing spreadsheets without predefined workflows.
- • Serve as the central hub for operational visibility, ensuring the founder no longer serves as the default point of contact for answering “who’s covering this?” or “what’s the status?”
- • Enable scalable growth by transforming reactive, manual processes into repeatable systems that reduce friction, improve response times, and preserve team bandwidth for core product work.
- • Ensure that operational excellence becomes embedded in the company’s DNA: within six months, new bank onboarding staffing decisions take minutes instead of weeks, and risks are flagged proactively via regular reports.
- • Maintain complete ownership over operational systems while explicitly not managing people, making product decisions, or doing the hands-on work of engineers, designers, or support staff.
- • Collaborate across departments with directness and professionalism, including delivering difficult messages about capacity limits to team leads and founder-level commitments to leadership.
🎯 Requirements
- • 3-6 years of experience at a startup that scaled from 15 to 80+ employees, having lived through the transition from informal to structured operations
- • Proven track record in cross-functional coordination, previously holding roles such as ops manager, business operations, chief of staff, or program manager
- • Strong written and verbal communication skills, with ability to create clear, actionable operational documentation and processes
- • Relentlessly organized with the discipline to add structure without creating bureaucracy
- • Comfort with ambiguity and ability to manage multiple high-priority tasks daily without predefined systems
- • Direct and unintimidated communication style, capable of giving honest feedback about capacity and commitments to team leads and leadership
