- • Serve as the primary point of contact for internal teams and customers regarding contracts-related inquiries, providing timely and accurate responses in alignment with department guidelines.
- • Manage and monitor shared communication channels to ensure all queries are acknowledged, routed appropriately, and resolved efficiently.
- • Oversee key stages of the contract lifecycle within the Contracts Lifecycle Management (CLM) system, ensuring accurate data entry, workflow compliance, and document completeness.
- • Receive partially signed contracts from the Contracts Special Inbox, track their status, process them for countersignature, and return completed documents to customers.
- • Verify fully signed contracts for regulatory and procedural compliance, collaborating with the Sales team to resolve discrepancies and finalize documentation.
- • Ensure all executed contractual documents are archived correctly in the designated systems, including CLM and Shared Drive, maintaining organized and accessible records.
- • Assist Contracts and Sales teams in locating, retrieving, and processing contractual documents upon request, supporting timely decision-making and audit readiness.
- • Support data and reporting functions within the Contracts system by validating input accuracy and contributing to internal metrics and tracking requirements.
- • Liaise directly with customers to facilitate the correct return of licenses, promote the use of digital signatures, and encourage adoption of digital contract submission processes.
- • Maintain high standards of attention to detail in all administrative tasks, ensuring error-free documentation and compliance with internal procedures.
- • Demonstrate active listening and clear written/verbal communication when interacting with internal stakeholders and external customers, applying professional business etiquette at all times.
- • Independently manage routine operational tasks with minimal supervision, prioritizing workload effectively to meet deadlines and service level expectations.
- • Follow up promptly on outstanding actions, ensuring no request or document is overlooked and all workflows remain on schedule.
- • Adapt to setbacks or errors by learning from experience and implementing corrective measures to improve process efficiency and accuracy.
- • Build and maintain collaborative relationships with peers, managers, and cross-functional teams to support seamless operations across departments.
🎯 Requirements
- • High-school diploma
- • Experience in a similar role involving clerical tasks or customer service
- • Competent use of software including Word, Excel, and PDF tools
- • Strong attention to detail and ability to ensure data completeness
- • Ability to communicate effectively via email, chat, and other digital platforms
- • Demonstrated ability to follow up efficiently and manage multiple tasks
