  • • Coordinate cross-departmental administrative support for FoundationCCC’s Workforce Development Department, focusing on Career Catalyst and Grants Administration projects.
  • • Schedule and facilitate virtual meetings and training sessions with internal teams and external stakeholders including grantees and payment recipients.
  • • Conduct outreach to grantees and payment recipients in coordination with project leads to ensure timely compliance and communication.
  • • Collect, review, and verify documentation required for payment processing and adherence to funder guidelines.
  • • Support client experience initiatives by scheduling and conducting client check-ins and retrospectives, tracking onboarding progress, administering milestone-based surveys, and analyzing feedback trends to improve service delivery.
  • • Request, collect, and maintain current certificates of insurance for active contracts to ensure legal and contractual compliance.
  • • Review data in grants management systems for accuracy, completeness, and alignment with submitted documentation and funder requirements.
  • • Conduct audits of client records including Worksites Agreements and Costing Allocations to ensure they are current, accurate, and properly documented.
  • • Maintain and update records in Salesforce and Workday, ensuring data integrity across systems for all active clients and projects.
  • • Set up new clients in Workday and Salesforce by initiating and completing Supervisory Orgs, Custom Orgs, and Project Codes.
  • • Track new and existing business opportunities in Salesforce to support pipeline development and reporting.
  • • Convert worksite agreement contract templates into form-fillable digital documents and track revisions for client use.
  • • Collaborate with internal teams to enhance client experience through process improvements and responsive communication.
  • • Support the coordination of workflow and project deliverables to ensure timely completion across multiple initiatives.
  • • Ensure all administrative tasks align with the organization’s mission to expand economic and social mobility through California Community Colleges.
  • • Operate within a remote-first environment while maintaining high standards of communication, accuracy, and accountability.
  • • Travel up to 10% within California for in-person meetings, trainings, or stakeholder engagements as needed.

🎯 Requirements

  • • Bachelor’s degree or equivalent work experience
  • • Previous experience in a coordination or administrative role
  • • Demonstrated experience with web-based tools including Microsoft Suite, Asana, and Salesforce
  • • Familiarity with project management principles
  • • Must reside in California
  • • Ability to travel up to 10% within California
