Your primary responsibility will be to assist the Nurse Practitioner in capturing comprehensive and accurate medical information, thereby enhancing efficiency, improving service delivery, and supporting critical operational functions for the client.
  • • Your day-to-day activities will revolve around the core task of charting and medical scribing. This involves creating detailed and precise medical documentation during and immediately after patient encounters. You will be responsible for recording all aspects of patient interactions, including assessments, diagnoses, prescribed treatment plans, and essential follow-up instructions. Maintaining consistency in formatting and employing correct medical terminology are paramount to supporting efficient clinical workflows and ensuring that charts are complete and adhere to established clinical documentation standards.
  • • A significant aspect of this role involves real-time note-taking during phone calls between the Nurse Practitioner and patients. You will actively participate in these calls, diligently documenting patient symptoms, reported concerns, updates to medical history, and any treatment-related notes. Your ability to capture this key information clearly and concisely will directly contribute to the provider's capacity to deliver timely and effective patient care. Prompt organization of these notes post-call is essential for smooth charting and accurate record-keeping.
  • • Proactive preparation of patient notes before appointments is another critical function. You will receive a daily schedule of patients from the Nurse Practitioner and will be tasked with pre-filling or preparing consultation notes. This preparation involves reviewing previous medical histories, existing diagnoses, and other relevant patient information to streamline the upcoming consultation. Ensuring all required forms, data fields, and necessary information are readily available for the Nurse Practitioner before each patient interaction is vital for maximizing consultation efficiency.
  • • Effective documentation management is central to this role, with a specific emphasis on utilizing OneDrive for secure storage and organization of patient documentation. You will be responsible for uploading, categorizing, and maintaining all patient records in accordance with the client's specified folder structure and confidentiality standards. Meticulous attention to file labeling, version control, and preventing data duplication or loss will be a key performance indicator.
  • • While not strictly required, experience with PointClickCare is highly preferred. If you possess this experience, you will assist in navigating the system for documentation updates and patient record lookups. For candidates without prior experience, a strong willingness to learn and adapt to this system will be considered a significant asset.
  • • Upholding client confidentiality and ensuring strict HIPAA compliance are non-negotiable aspects of this position. You must maintain the highest level of discretion with all patient records and sensitive health information, ensuring all documentation practices strictly adhere to HIPAA guidelines. Secure handling and transfer of medical data across all utilized tools and communication platforms are essential to protect patient privacy.
  • • This engagement operates under a defined scope of work governed by an independent contractor agreement, emphasizing professionalism, adherence to timelines, and the delivery of high-quality, task-specific services. You will be working approximately 20 hours per week, with scheduled working days from Monday through Friday, and daily working times to be determined, aligning with PST. The objective is to support the client in achieving greater business efficiency and enhancing their service delivery through your dedicated and expert virtual assistance.
