  • • Assist with general office maintenance tasks including coordinating repairs and resolving issues related to multifunction devices, office supplies, water fountains, and coffee machines.
  • • Maintain accurate records of maintenance activities, vendor contracts, and compliance documentation for facility operations.
  • • Conduct regular facility inspections to identify maintenance needs and potential safety hazards; develop and manage a preventive maintenance schedule for office equipment and systems.
  • • Coordinate with external vendors for janitorial services, pest control, waste removal, utilities, coffee service, food and drink vending machines, logistics, office supplies, mail distribution, and recycling/shredding services, ensuring cost-effective solutions.
  • • Support space planning initiatives by coordinating office moves, furniture arrangements, equipment setup, and modifications; validate seating arrangements with site leadership.
  • • Maintain up-to-date seating charts and floor plans; monitor space capacity and provide updates to Corporate Services and site head; liaise with department management for new hire workstation readiness.
  • • Manage the parking permit/card system, conduct regular audits for compliance, and resolve discrepancies.
  • • Serve as primary or backup receptionist by greeting visitors, supporting meetings, answering phone calls, and directing inquiries to appropriate personnel.
  • • Procure, install, and maintain office furniture and furniture systems in alignment with company standards.
  • • Manage inventory of office consumables including stationery, pantry items, and other supplies to ensure adequate stock levels.
  • • Select, place, and maintain interior plants within the office environment.
  • • Oversee incoming and outgoing mail processes, coordinate centralized mail distribution, procure shipping supplies, and may open/scan mail when no department contact is available in-country.
  • • Review and administer badge access systems in accordance with corporate security protocols.
  • • Assist in developing and updating local Business Continuity Plans, Emergency Response Plans, and Facility Manuals.
  • • Communicate building-related issues to employees and serve as the office lead during building evacuations and life/safety/security incidents.
  • • Assist with processing CRES department invoices and purchase requisitions; support preparation of the Corporate Services budget for the country office location.
  • • Implement and promote recycling programs to reduce waste and advance environmental sustainability.
  • • Monitor and maintain energy management strategies to optimize energy usage and support sustainability initiatives.
  • • Support Records Governance (RIG) initiatives by coordinating record return/disposal, disseminating documents to authorized parties, and liaising with storage service vendors.
  • • Maintain and update Office location SyncUp pages with accurate internal platform information.
  • • Serve as primary point of contact for landlord relations, addressing facility-related concerns or issues as needed.
  • • Perform other work-related duties as assigned; minimal travel up to 25% may be required.

🎯 Requirements

  • • High school diploma or equivalent education and experience
  • • Some experience providing specialized administrative support
  • • Proficiency in English, both written and spoken
  • • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), voicemail, email, and Outlook calendar
  • • Ability to tactfully and effectively work with all levels of employees while maintaining confidentiality
  • • Highly effective verbal, written, interpersonal, and team-oriented skills
  • • Ability to organize and prioritize work to meet aggressive deadlines
