- • Process customer invoices accurately to ensure billing aligns with services rendered in automotive repair and fleet management contexts.
- • Generate price quotes by calculating costs of parts, materials, and labor, ensuring compliance with standard repair times and parts pricing databases.
- • Review estimates to verify correctness of parts listed and accuracy of pricing before submitting to customers.
- • Prepare and submit finalized invoices to customers, ensuring all necessary details including deductibles, POs, and service line items are correctly included.
- • Answer customer phone calls to provide billing information, explain quotes, obtain estimate approvals, and secure payment authorizations.
- • Maintain customer rapport by clearly communicating invoice details and resolving billing inquiries professionally and promptly.
- • Utilize Salesforce.com as the primary system to manage Quote/Work Order/Invoice queues, updating required fields once items are processed and ready for delivery.
- • Use secondary systems such as Auto integrate, Holman, and Element to support fleet management quoting and billing processes.
- • Coordinate with internal departments to ensure billing data accuracy and resolve discrepancies between service orders and invoiced amounts.
- • Ensure all parts used in repair orders are properly billed and matched to the corresponding service work performed.
- • Manage end-to-end billing cycle from quote generation through invoice submission and payment collection.
- • Write clear, compliant, and professional quotes and invoices that meet company and customer standards.
- • Multitask across multiple billing requests while maintaining attention to detail and meeting deadlines in a fast-paced environment.
- • Prioritize tasks effectively to handle high volumes of customer quote and invoice requests without compromising accuracy.
- • Work independently and collaboratively as part of a team to maintain efficient billing operations and support service advisors.
- • Maintain a strong understanding of the automotive repair process as it relates to invoicing and customer billing requirements.
- • Ensure all billing documentation adheres to internal policies and external compliance standards.
- • Respond to incoming quote and invoice requests in a timely manner to meet customer expectations and service level agreements.
🎯 Requirements
- • High School Diploma or GED required
- • 1–2 years of customer service experience required
- • Service Advisor or Automotive Billing experience preferred
