  • • Manage and triage incoming disputes matters, including demand letters, pre-litigation disputes, and arbitration threats, ensuring accurate and timely intake across multiple claim types.
  • • Draft and send initial responses to users on behalf of Litigation Counsel using established templates and escalation protocols to maintain legal compliance and consistency.
  • • Maintain and update case tracking systems to ensure all disputes are properly documented, monitored, and no deadlines or actions are missed.
  • • Coordinate with internal teams including Trust & Risk, Customer Experience, and Legal Operations to gather necessary facts, evidence, and documentation required for dispute resolution.
  • • Support Litigation Counsel in preparing materials for active matters by organizing records, summarizing correspondence, and tracking key deadlines and procedural requirements.
  • • Assist in building, refining, and standardizing intake workflows and response playbooks to scale the disputes function efficiently as the company grows.
  • • Utilize AI-driven tools such as GC AI, Claude CoWork, and Glean to enhance workflow efficiency, automate repetitive tasks, and improve accuracy in dispute handling.
  • • Work closely with Legal Counsel to ensure all dispute-related activities align with company policies, legal standards, and regulatory expectations.
  • • Adapt quickly to evolving dispute patterns and emerging legal risks in a high-volume, fast-paced marketplace environment.
  • • Contribute to process improvements by identifying bottlenecks, proposing solutions, and implementing best practices for dispute management.
  • • Maintain strict confidentiality and professionalism when handling sensitive user and legal information across all communications and documentation.
  • • Ensure all dispute documentation is properly archived and accessible for audit, compliance, or litigation purposes.
  • • Collaborate with cross-functional stakeholders to resolve disputes promptly and minimize escalation to formal litigation.
  • • Stay current with internal legal guidelines, template updates, and procedural changes to ensure consistent application across all dispute interactions.
  • • Proactively identify trends in dispute types or user behaviors that may indicate systemic issues requiring policy or operational adjustments.
  • • Maintain a high degree of accuracy and attention to detail while managing large caseloads under time-sensitive conditions.
  • • Contribute to knowledge sharing within the Legal team by documenting lessons learned and updating internal resources as disputes evolve.
  • • Work remotely as part of a co-located team with members across the US, UK, Ireland, Poland, Germany, and Australia, maintaining clear and consistent communication.
  • • Perform all duties in alignment with Whatnot’s core values and commitment to building a fair, transparent, and user-centric marketplace.

🎯 Requirements

  • • 5+ years of paralegal or legal support experience, preferably in litigation, disputes, or a high-volume legal environment
  • • Experience with demand letter intake and response drafting, or other structured legal correspondence workflows
  • • Strong written communication skills — ability to write clearly, concisely, and calibrate tone for sensitive situations
  • • Excellent organizational skills and ability to manage a large volume of matters simultaneously without losing track of details
  • • Familiarity with legal matter management tools or case tracking systems
  • • Experience with AI platforms such as GC AI, Claude CoWork, and Glean
