  • • As a Document Centre Associate, you will be entrusted with the critical responsibility of managing the flow of sensitive information, upholding the highest standards of security, accuracy, and efficiency essential for our legal practice. Your day-to-day responsibilities will encompass a range of crucial tasks designed to maintain the integrity and operational flow of our legal documents and communications.
  • • You will lead the secure intake and processing of all incoming mail and parcels delivered to our central London headquarters. This involves meticulously opening, reviewing, and categorizing every piece of correspondence to ensure nothing is missed and all items are directed to the appropriate channels swiftly and securely.
  • • A key aspect of your role will be driving the digital transformation of our legal practice by carefully scanning all physical documents and their contents into our internal software system. This digitization process is fundamental to creating a searchable, accessible, and efficient document management system, reducing reliance on physical storage and enhancing retrieval times.
  • • You will implement and maintain a rigorous process-first approach to file organization. This ensures that all documents, both physical and digital, are meticulously organized, easily retrievable, and ready for immediate use by our legal teams, contributing to operational excellence and client service.
  • • You will assist with essential mailroom duties, which include coordinating courier deliveries for outgoing documents and managing the secure destruction of sensitive materials. Maintaining a high-security environment is paramount, and you will be responsible for adhering to strict protocols for document handling and disposal.
  • • You will work closely with our Lawyer Support team, providing direct assistance as required. This collaborative relationship ensures that our legal professionals have the support they need to focus on client matters, with you acting as a key enabler of their workflow.
  • • In addition to your core duties, you will provide occasional support for small-scale printing, posting, and copying tasks. These tasks, while seemingly minor, directly contribute to the progression of live legal matters and require your careful attention to detail.
  • • Crucially, you will act as a guardian of sensitive client data. This responsibility demands that all documents are handled with the utmost care, security, and confidentiality at all times, adhering to legal and ethical standards.
  • • This exciting and pivotal role requires your presence in our central London office five days per week, fostering a collaborative and engaged team environment. You will be at the forefront of operational efficiency, directly impacting Lawhive's mission to make law accessible and revolutionize legal practice through technology and AI.

  • • Previous experience in a mail room, scanning, or document management role is a plus but not essential.
  • • Comfortable working in a physical office environment and performing hands-on tasks.
