  • • Lead end-to-end planning and execution of conferences, community events, live productions, and special experiences for a faith-based organization serving U.S.-based clients
  • • Build and manage detailed event timelines, run-of-show documents, and production schedules to ensure seamless delivery of all live events
  • • Serve as the primary point of accountability for on-the-ground event execution, ensuring every event is delivered on time, on budget, and to the highest standard
  • • Source, negotiate with, and manage vendors and venues across all event types, maintaining records of contacts, contracts, and deliverables
  • • Ensure all production elements — including equipment, materials, staffing, and technical requirements — are confirmed, present, and operational prior to each event
  • • Oversee event budgets, tracking spend against approved allocations and flagging variances early to maintain financial discipline
  • • Manage logistics for multiple concurrent events, including transportation, accommodations, equipment rentals, and on-site coordination
  • • Audit and update all event assets on a regular cadence to ensure accuracy, completeness, and readiness for upcoming events
  • • Coordinate cross-functionally with internal teams to align on event needs, timelines, and responsibilities across departments
  • • Communicate event status updates regularly to leadership and relevant stakeholders, providing clear, timely, and proactive communication
  • • Prepare and submit event checklists, meeting agendas, and leadership review materials to ensure alignment and accountability
  • • Manage all event-related correspondence, responding promptly to urgent communications and time-sensitive requests
  • • Maintain thorough documentation including checklists, status reports, and post-event summaries for each event
  • • Complete weekly event reporting workflows and submit deliverables to upline leadership on schedule
  • • Support the organization’s broader calendar management and planning infrastructure by integrating event data into centralized planning systems
  • • Work fully remotely from home during U.S. business hours (9AM - 5PM EST) to align with client time zones and operational needs
  • • Operate with high autonomy in a fully remote environment, demonstrating self-motivation, reliability, and strong independent work ethic
  • • Collaborate effectively across departments and levels of leadership while maintaining a detail-oriented approach to delivering polished, high-quality experiences
  • • Bring a proactive communication style that surfaces issues early, anticipates challenges, and keeps teams aligned under pressure
  • • Contribute to the continuous improvement of event systems, processes, and documentation to scale operations as the events calendar grows

🎯 Requirements

  • • 3+ years of hands-on experience in event management, event production, or a closely related role
  • • Demonstrated experience managing end-to-end event planning and execution for conferences, community events, or live productions
  • • Proven track record managing vendor relationships and venue coordination across multiple concurrent events
  • • Experience overseeing event budgets and managing logistics from pre-event through post-event
  • • Proficiency with project management tools and Google Workspace in a professional setting
  • • Strong written and verbal communication skills with experience managing stakeholder relationships
