- • Wrapbook is seeking a dynamic and highly organized Events Coordinator to join our Marketing team. This pivotal role is responsible for conceptualizing, planning, and executing engaging in-person experiences that foster meaningful connections between our prospects, clients, and partners, ultimately driving lead generation, strengthening client loyalty, and reinforcing our brand presence. You will be instrumental in bringing our event strategy to life, ensuring every touchpoint is memorable and impactful, and contributing directly to Wrapbook's growth and market leadership in production payroll and accounting solutions.
- • As an Events Coordinator, your day-to-day responsibilities will encompass the meticulous coordination of all logistical aspects for in-person events. This includes, but is not limited to, managing catering arrangements to delight attendees, overseeing audio-visual setups for seamless presentations, securing appropriate facilities that align with event objectives, curating and distributing branded swag that leaves a lasting impression, and managing the production of essential print materials. You will be the central point of contact for sourcing and managing a diverse range of vendors, negotiating contracts, and ensuring they deliver high-quality services that meet Wrapbook's standards and budget. A critical part of your role involves attending and actively supporting events on-site, acting as the primary problem-solver to ensure smooth execution and swiftly resolving any unforeseen issues in real-time, thereby guaranteeing a positive experience for all participants.
- • Beyond the on-site execution, you will be the architect of event communications and stakeholder coordination. This involves drafting compelling and clear invitations that drive registrations, sending timely confirmations and reminders to keep attendees informed, and developing engaging post-event follow-up communications to nurture leads and gather valuable feedback. You will leverage various channels, including email campaigns and dedicated landing pages, to maximize reach and engagement. Furthermore, you will proactively schedule and manage preparation calls with speakers and partners, ensuring they are fully briefed and aligned with event goals. Your role will involve overseeing ongoing communications throughout the event lifecycle, ensuring all internal and external stakeholders remain informed, aligned, and prepared for their respective roles, fostering a collaborative and efficient event planning process.
- • A key component of your contribution will be in tracking and reporting on event performance. You will meticulously monitor key metrics such as registration numbers, actual attendance rates, attendee feedback surveys, and the comprehensive reconciliation of event budgets. This data-driven approach will enable you to provide insightful recommendations aimed at optimizing future events, enhancing attendee experiences, and maximizing the return on investment (ROI) for Wrapbook's event initiatives. Your analytical contributions will be vital in refining our event strategy and ensuring continuous improvement.
- • You will be an integral part of the Marketing team, reporting directly to the Manager of Events & Partnerships. This collaborative environment will see you working closely with Sales, Client Operations, and other internal departments to ensure events are strategically aligned with broader business objectives and executed flawlessly. Your ability to bridge communication gaps and ensure seamless collaboration across teams will be crucial for success.
