  • • Provide comprehensive administrative support to Europe-based senior leadership, primarily the CFO, ensuring seamless execution of daily operations and priorities.
  • • Manage complex, multi-time-zone calendars for executives, proactively coordinating meetings, resolving scheduling conflicts, and optimizing time allocation across global teams.
  • • Serve as the primary point of contact for internal and external stakeholders, triaging and prioritizing requests to protect leadership’s focus on strategic initiatives.
  • • Plan, coordinate, and execute all aspects of domestic and international travel, including flights, accommodations, ground transportation, visa applications, and compliance with local requirements.
  • • Prepare and distribute meeting agendas, take detailed minutes, follow up on action items, and ensure documentation is archived in Confluence or other designated platforms.
  • • Manage executive expenses, reconcile invoices, process reimbursements, and maintain accurate financial records in alignment with company policy.
  • • Draft, edit, and finalize high-stakes documents, presentations, and communications, ensuring clarity, accuracy, and alignment with executive messaging.
  • • Handle confidential and sensitive information with discretion, maintaining strict adherence to data protection and privacy standards.
  • • Anticipate needs and resolve unforeseen logistical challenges before they impact leadership’s schedule or effectiveness.
  • • Collaborate cross-functionally with teams across HR, Finance, Legal, and Operations to facilitate smooth execution of executive initiatives.
  • • Leverage digital tools including Slack, Google Suite, Zoom, and Confluence to streamline communication, documentation, and workflow efficiency.
  • • Adapt quickly to changing priorities in a fast-paced, high-growth environment where no two days are the same.
  • • Support ad hoc projects and situational requests as they arise, demonstrating flexibility, initiative, and problem-solving agility.
  • • Contribute to a positive, collaborative, and high-performing team culture by embodying professionalism, reliability, and proactive communication.
  • • Act as a trusted liaison who represents leadership with poise and precision in all internal and external interactions.
  • • Employ AI tools and digital solutions to enhance productivity, reduce administrative friction, and deliver smarter, faster outcomes.
  • • Maintain a deep understanding of executive workflows and anticipate evolving needs as the organization scales globally.
  • • Ensure all administrative activities reflect Airwallex’s operating principles of ownership, speed, rigor, and collaboration.

🎯 Requirements

  • • 7 years of experience in an Executive Assistant or Administrative Business Partner role supporting senior executives
  • • Diligence, reliability, and a strong sense of ownership, particularly regarding confidential and sensitive matters
  • • Exceptional written and verbal communication skills
  • • Familiarity with Slack, Google Suite, Confluence, and Zoom
