- • Serve as a key administrative and operational support partner to leadership in a fast-paced flooring and remodeling company scaling its operations.
- • Manage complex calendars, schedule meetings, set reminders, and coordinate time-sensitive appointments across multiple stakeholders.
- • Organize and prioritize inboxes, manage follow-ups, and ensure timely communication with customers, vendors, subcontractors, and internal teams.
- • Maintain accurate and up-to-date records within Odoo and other internal systems, including customer data, invoicing details, and workflow tracking.
- • Coordinate operational workflows, track project timelines, and monitor pending tasks to ensure deadlines are met and bottlenecks are resolved proactively.
- • Act as the primary point of contact for customer communications regarding scheduling, project updates, and service inquiries, ensuring professionalism and responsiveness.
- • Assist in documenting administrative processes, preparing reports, and maintaining organized digital and physical filing systems.
- • Support leadership by anticipating needs, streamlining communication channels, and reducing administrative overhead through structured systems and proactive planning.
- • Ensure all operational systems—including CRM, Odoo, Google Workspace, QuickBooks, and Slack—are consistently updated, accurate, and utilized effectively.
- • Maintain high standards of attention to detail in all tasks, from scheduling to documentation, ensuring zero errors in client-facing communications and internal records.
- • Work independently with minimal supervision while managing multiple priorities across administrative, operational, and customer-facing responsibilities.
- • Align daily work schedule strictly with U.S. business hours (9 AM – 5 PM EST) to support U.S.-based leadership and clients.
- • Contribute to creating organizational structure and efficiency as the company scales, helping leadership focus on strategic growth rather than administrative tasks.
- • Demonstrate a proactive mindset by identifying inefficiencies, proposing solutions, and implementing improvements to workflows and communication protocols.
- • Maintain confidentiality and professionalism in handling sensitive business information and client data.
- • Ensure customer interactions are timely, organized, and reflect the company’s commitment to service quality and operational excellence.
- • Participate in continuous system optimization by updating records, flagging inconsistencies, and collaborating with leadership to refine operational processes.
🎯 Requirements
- • 2+ years of experience in executive assistance, administrative support, or operations coordination
- • Experience supporting leadership in fast-paced business environments
- • Proficiency in CRM or ERP systems, particularly Odoo, Google Workspace, QuickBooks, and Slack
