- • Executive Assistant & Office Manager at Rillet Technologies Inc., a fast-growing AI-native ERP startup backed by $100M from top-tier investors including Sequoia and a16z, supporting 1-2 senior leaders while overseeing daily operations of the San Francisco office to ensure seamless executive productivity and a world-class workplace experience.
- • Manage complex, high-volume calendars for executives across time zones, proactively resolving scheduling conflicts and optimizing for business priorities while maintaining exceptional responsiveness and over-communication to prevent surprises.
- • Serve as the primary point person for the SF office, overseeing facilities, repairs, security, IT/AV troubleshooting, vendor relationships, and office budget management to keep the space guest-ready and running smoothly at all times.
- • Welcome and host customers, candidates, investors, and partners; manage guest registration and conference room coordination to deliver a polished, high-end experience that reflects Rillet’s innovative and professional brand.
- • Develop and maintain the kitchen program, including daily snack/beverage restocking and coordinating lunch orders/catering for meetings and team events, while managing office access (keys/badges) and leading physical onboarding for new SF employees.
- • Proactively update the team on maintenance schedules, outages, and office-wide relevant information, ensuring transparency and minimizing disruption across the organization.
- • Thrive in a rapid-growth environment where the playbook is still evolving, demonstrating agility by pivoting quickly from high-level strategic planning (e.g., board prep) to hands-on execution (e.g., moving furniture for events).
- • Act as the "hub" of team energy by identifying ways to improve the physical office space to align with company goals and culture, taking pride in creating a clean, organized, and welcoming environment for employees and guests alike.
- • Work in-office 3-5 days per week in San Francisco, with most team members required on Tuesdays and Thursdays plus one flexible day, embracing in-person collaboration as a core part of Rillet’s high-performance culture.
- • Grow alongside a category-defining startup as Rillet scales, gaining broad cross-functional exposure and opportunities to expand responsibilities in executive support, office management, and operations as the company evolves.
🎯 Requirements
- • 3+ years of experience in executive support, office management, or operations, ideally within a high-growth startup, VC, or tech environment.
- • Mastery in managing complex, high-volume calendars and shifting priorities for multiple senior leaders or founders across time zones.
- • Exceptional written and verbal communication skills, with comfort hosting and interacting with founders, senior executives, and investors while handling confidential information with maturity and absolute discretion.
