- • As a pivotal Executive Assistant to the Chief Sales and Carrier Officer (CSCO) at eHealth, you will serve as a critical extension of their vision, leadership, and voice, working closely and often in confidence to ensure seamless operations.
- • This role demands a highly organized, professional, resourceful, efficient, and flexible individual capable of thriving in a fast-paced and transformational environment, acting as a strategic partner to maximize the CSCO's time and impact.
- • You will be instrumental in managing complex calendars, tracking deadlines, facilitating productive meetings, and optimizing time management strategies for the CSCO.
- • A key responsibility involves researching, prioritizing, and following up on incoming requests, providing essential resources and well-considered recommendations to the CSCO.
- • You will be responsible for preparing comprehensive presentations, reports, and briefing materials for various meetings, including executive and board-level sessions, ensuring alignment with meeting objectives and timely assembly of information.
- • This includes confirming that all presenters understand the CSCO's meeting goals, gathering supporting information, assembling presentations efficiently, and verifying all logistical arrangements such as IT and facilities.
- • Meticulous calendar management and coordination of appointments, meetings, and conference calls are essential, often involving extensive rescheduling while ensuring all logistical details are flawlessly handled.
- • You will expertly plan and oversee all travel arrangements, encompassing flights, accommodations, detailed itineraries, ground transportation, and on-the-ground logistics, with the agility to proactively adjust plans in real-time as circumstances dictate.
- • A significant aspect of the role involves coordinating and communicating employee events, including group meetings, off-sites, and all-staff town halls, extending beyond basic invitations and room bookings to encompass ensuring clear objectives, appropriate preparation, and diligent budget management.
- • You will communicate directly and on behalf of the CSCO, and will draft necessary communications for inter-company events or important notices, maintaining a professional and consistent voice.
- • Active participation in team meetings, capturing and circulating key decisions, and collaborating with assigned leaders to ensure appropriate follow-up actions are taken are crucial for driving progress.
- • You will proactively identify opportunities to enhance internal processes and strengthen relationships with vendors, contributing to operational efficiency and effectiveness.
- • Leveraging internal partnerships, you will strategize and drive projects to successful completion, ensuring effective communication and smooth implementation.
- • You will manage various administrative tasks for the assigned leaders, including travel arrangements, budget oversight, and expense report processing.
- • Processing purchase requisitions, contracts, invoices, and expense reports accurately and efficiently is a core administrative duty.
- • Maintaining the utmost discretion and confidentiality in all professional relationships and communications is paramount.
- • You will embody and demonstrate eHealth’s core values in all your behaviors, practices, and decisions, contributing to a positive and principled work environment.
- • This role requires flexibility to connect with a remote team spread across all US time zones, primarily operating within Central Time Zone hours.
- • Occasional travel may be required for offsites, leadership meetings, and team gatherings if not located in Austin, TX.
- • You will support the CSCO and their six direct reports, acting as a central point of contact and support for the sales and carrier leadership team.
