  • • You will be the right-hand partner to Pathos’ two founders, owning every detail of their calendars, travel, and inbox triage so they can stay laser-focused on building the future of the company. From last-minute investor meetings to cross-country board retreats, you anticipate needs, remove friction, and ensure nothing falls through the cracks.
  • • Own the heartbeat of our San Francisco headquarters three days a week—unlocking the door, greeting teammates, restocking artisanal coffee, and curating a workspace that feels more like a creative studio than an office. You’ll keep the environment spotless, plants alive, and walls decorated with rotating art that sparks conversation and pride.
  • • Plan and execute unforgettable team gatherings every other month when our distributed crew flies in from Austin, New York, and beyond. Secure boutique hotels, dinner reservations at Michelin-starred gems, and co-working spaces with views of the Bay while balancing budgets and dietary preferences like a seasoned producer.
  • • Serve as the founders’ cultural radar, delivering a concise morning brief on Slack each day at 9:00 a.m. sharp: who’s in the office, who’s crushing it, who might need a morale boost, and any early signals of tension or triumph. Your words set the tone for the day and keep leadership emotionally connected to the team.
  • • Design micro-experiments that keep energy sky-high—surprise smoothie bars, mid-day meditation breaks, peer-nominated kudos channels, or rotating “lunch-and-learn” sessions led by teammates. Measure impact through quarterly pulse surveys and iterate until satisfaction scores trend upward.
  • • Manage the full vendor ecosystem: negotiate with caterers, keep legal, accounting, and compliance partners on schedule, chase invoices, and ensure every SaaS seat is provisioned or deprovisioned within 24 hours of an employee’s start or departure date. Think of yourself as the invisible infrastructure that lets brilliance flourish.
  • • Become the trusted confidant who hears early-stage concerns before they become problems. Whether it’s a teammate struggling with imposter syndrome or a whisper of burnout, you’ll surface issues to founders with tact and propose solutions that balance empathy with business needs.
  • • Curate a digital and physical onboarding journey that turns new hires into raving fans by Day 5. Swag boxes arrive before their start date, desks are personalized with their favorite snacks, and Day 1 ends with a handwritten note from the founders—coordinated entirely by you.
  • • Coordinate complex international travel that blends business with inspiration: think Tokyo for a customer summit followed by a team ramen tour, or Lisbon for a leadership off-site wrapped in sunset sailing. You secure visas, optimize for carbon offsets, and still shave 10% off last year’s travel budget.
  • • Build and maintain a lightweight but airtight system of records—Notion pages for office playbooks, Airtable bases for vendor contacts, and Google Drive folders that even the most tech-averse teammate can navigate. Your documentation becomes the single source of truth that scales with us.
  • • Champion diversity, equity, and inclusion in every initiative you touch—from ensuring catered menus reflect global palettes to sourcing event speakers from under-represented communities. You track participation data and share insights that help leadership build a culture where everyone belongs.
  • • Finally, embody contagious optimism. Whether the Wi-Fi dies right before an all-hands or a founder’s flight is cancelled en route to a keynote, your calm, creative energy turns chaos into a story the team will laugh about for years.
